Job Description

PROFESSIONAL SECRETARY II, 10.5 MOS/SCHOOL YEAR

START DATE: 7/2/26 (start of 2026-27 school year calendar for 10.5 mo secretaries)

HOURS: 8.0 HRS/DAY

7:00 AM - 3:30 PM (hours however may change as they are set by building to meet their needs)

Current secretaries use the internal bidding process to apply.

All other current district employees (not a secretary), or external applicants apply online by completing the external application.

Entry Wage 2026-27, $19.64/hr: Current secretaries with seniority please refer to the Wage Sections of the secretary contract.

Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)

  • Maintain a calm, welcoming, professional office environment
  • Maintain confidentiality in all situations working with students, staff and parents.
  • Maintain Infinite Campus system for the purpose of student management - Register students, update records, assist with monitoring student attendance, and collect and enter service fees.
  • Utilize PC computer to create documents for building, parent letters and staff (word processing, Excel programs and Google Suite).
  • Maintain Cumulative Folders on Infinite Campus and use of DocuShare scanning process.
  • Request school records for in-coming students and process out records for students leaving.
  • Bookkeeping/Accounting: Use of In-Touch and Business Plus systems
  • Use of AESOP for guest teachers, including securing guest teachers.
  • Document student office referral calls.
  • Maintain all building personnel attendance records.
  • Responsible for staff payroll information and processing including Time Clock.
  • Order all building supplies, curriculum materials, and catalog orders.
  • Submit and process building C forms, invoices, and direct payments for the building.
  • Answer phone and accurately record and give messages.
  • Submit work orders for repairs for any office machines and equipment.
  • Direct office para-educator staff.
  • Create and distribute monthly school newsletter sent home to families.
  • Assist the nurse as needed including dispensing medications.
  • Other duties as assigned by principal.
  • Successful candidate must possess strong inter-personal skills with a proven record of building rapport with culturally diverse students and families to ensure each child reaches his/her full potential.
  • Good attendance and punctuality are a must to ensure that the duties and responsibilities of the job are performed successfully.
  • Must be willing to support and implement Davenport's multi-tiered system of supports (MTSS) for behavior, academics and SEBH.

Physical Requirements of Position: (HBV Yes No)

Ability to routinely lift/carry office supplies and printed materials weighing up to 25 lbs - occasionally lifting 50 pounds

Ability to withstand weather for outside activities. Ability to bend squat and kneel

Ability to hear and understand speech at normal levels in person and/or on the telephone.

Ability to communicate so others will be able to clearly understand a normal conversation in person and/or on the telephone.

Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner. 


Special Qualification Desired: (Personal Qualities, Education, Skills Needed, Experience, Etc.)

  • Must have High School diploma or GED equivalency.
  • Ability to work well under pressure, establish priorities, and meet deadlines while maintaining a calm demeanor during stressful situations!
  • Attentive to detail and accuracy; good organizational and communication skills.
  • Ability to take initiative in identifying tasks to be accomplished.
  • Experience with diverse populations.
  • Skilled in use of IC, DocuShare, In-Touch, Business Plus, AESOP, Time Clock, Raptor, and Microsoft Office including Word and Excel
  • Have training or become trained in dispensing medication.
