Position Title: Operations Clerk
Position Hours: Mon - Fri, 40 Hours per week
Position Mission: An Operations Clerk is an entry-level position to support the multi departments under Operations Services. Provide support directly to the departments Administrative Assistant and Executive Director with day-to-day tasks. Teamwork is essential to the efficiency and effectiveness of a department, therefore as tasks are completed, check in to provide additional support.
Education and Qualifications:
- High school degree or an equivalent qualification preferred.
- Organizational skills
- Oral and written communication skills
Duties and Responsibilities:
- Keeping and maintaining records of department expenditures.
- Reporting budget shortages to the supervising authority.
- Following the instructions of the Department Administrative Assistant.
- Create Purchase Orders (POs) from departments generated budget and keep track of POs in accordance with account codes to manage budget for department.
- Meeting deadlines for completion of the delegated task.
- Submitting and following up with any needed IQ tickets
- Conducting expenditure card reconciliation monthly
- Create and maintain a system to organize all receipts auditing purposes.
- Proper storage and handling of receipts.
- Preparing reports on budget balances and outstanding POs
- Submission of necessary items to fellow departments, include but not limited to Accounts Payable, HR, and/or Payroll to ensure records are being updated accordingly.
- Coordinating with team members and other internal departments of the organization.
- All other duties as assigned
