Job Description

POSITION - Elementary Instructional Secretary 

START DATE -  Beginning of the 2026-2027 School Year

LOCATION -  Burton Elementary School

SALARY - Classification II - Secretary Salary Schedule

HOURS: 10 month position,4.5 hours/day

 

POSITION SUMMARY

 

To support the Principal and Principal's Secretary in meeting the management and instructional goals of the school so that students, staff and parents are assured an open and welcoming environment, a safe and orderly building and optimal learning experiences for children

 

QUALIFICATIONS

 

Candidates must possess:

 

  1. High School diploma required
  2. Effective organizational skills; ability to prioritize and meet deadlines
  3. Operating knowledge of office equipment and experience with technology; demonstrate competence in:
    • Keyboarding and word-processing (letters, memos, as assigned)
    • Desktop publishing
    • Flair for graphic design and layout
    • Email and web use
    • Windows/Google operating system
    • Use of networked systems
    • Willingness and ability to learn spreadsheets, file management, electronic presentations
  4. Record-keeping ability; skill in:
    • Accurate data collection, recording, and informative sharing of data
  5. Competency in math and able to perform:
    • Compute accurately and fluently
    • Willingness and ability to learn basic bookkeeping skills
  6. Strong written and oral communication skills; able to:
  7. Speak appropriately and construct appropriate written correspondence
    • Edit correspondence for grammar, punctuation and content
    • Use good grammar both orally and in writing
    • Use effective interviewing skills (active listening and questioning)
  8. Strong interpersonal skills
    • Be sensitive to, understanding of and genuinely interested in young children and their learning
    • Establish rapport and maintain appropriate relationships with students, staff and parents; maintain confidentiality
    • Confront negative situations with others and handle calmly and sensitively
    • Work closely and cooperatively with others, acting as a team member with a positive attitude toward colleagues and the Berkley School District
  9. Demonstrate willingness and ability to process complex directions and implement them appropriately in a busy "multi-tasking environment"
  10. Demonstrate dependability and problem-solving ability
  11. Demonstrate willingness to engage in and apply new learning
  12. Ability to physically assist elementary students (lift 50 lbs., stoop, bend and kneel)
  13. Up-to-date certification in basic first aid and CPR

 

DUTIES AND RESPONSIBILITIES

 

The Instructional Secretary will:

 

  1. Act as receptionist in absence of principal's secretary:
    1. Respond appropriately to office visitors
    2. Use sound problem solving skills
    3. Respond to phone calls in an amiable and satisfying manner
    4. Respect confidentiality
  2. Perform office/clerical responsibilities in a timely and accurate manner:
    1. Prepare building communications (building newsletter, notes to parents, beginning and end-of-school information, website, etc.)
    2. Assist with the collection and organization of data
    3. Handle phone and mail correspondence as requested (staff mailboxes)
    4. Prepare other forms for record keeping (registration, certificates, health, attendance, etc., as assigned)
    5. Assist with coverage for building meetings, substitutes, etc.
    6. Assist with weekly time sheets when directed
    7. Assist in maintaining student records and data bases
    8. Assist with maintaining office machines
    9. Schedule coverage for building meetings
  3. Support building's school improvement efforts
  4. Support building's health and safety efforts:
    1. Provide children with basic first aid
    2. Building security
    3. When necessary, assist in the distribution of students' prescribed medications according to district, county and state protocols
    4. Analyze student health issues presented in the office and respond appropriately
  5. Assist with building specific programs and activities, such as 5th grade promotion, Kindergarten Round-up, etc.
  6. Assist with preparing and tracking purchase orders
  7. Assist with payroll – when directed
  8. Perform other related duties as assigned
