Job Description
Health Services Coordinator - Scheduler/Staffing – Full-Time (includes weekend rotation)
Pay: $23.00 – $25.00/hourClassification: Non-Exempt (Eligible for Overtime)
Touchmark on West Prospect is Appleton’s leading full-service senior living community, dedicated to enriching the lives of residents through exceptional care, hospitality, and service. We are seeking a highly organized, detail-oriented Health Services Coordinator/Scheduler to support the daily operations of our Health Services department.
This role is ideal for someone who enjoys coordinating schedules, solving staffing challenges, supporting clinical teams, and ensuring residents receive the highest quality care. As a key member of the Health Services team, you will work closely with nursing leadership, caregivers, and other departments to keep operations running smoothly.

What You’ll Do
Create, post, and maintain staffing schedules using Dayforce
Coordinate staffing needs while minimizing overtime and ensuring appropriate coverage
Track attendance, schedule changes, and certification renewals for nursing team members
Support recruitment efforts by coordinating and participating in caregiver interviews
Assist with onboarding and training of new Health Services team members
Manage department records, filing systems, and administrative tasks
Handle on-call staffing responsibilities as assigned
Coordinate with team members, agencies, residents, and families to support quality care
Assist with medication cycle fill processes and supply ordering
Support the Health Services Director and nursing leadership with operational and administrative needs
What We’re Looking For
High school diploma or equivalent
At least one year of clerical or administrative experience
Two years of scheduling, staffing coordination, healthcare, or direct patient care experience preferred
Strong organizational and multitasking skills
Proficiency with Microsoft Office, including Excel and Word
Ability to work independently, prioritize competing demands, and solve problems effectively
Professional communication skills and commitment to confidentiality
Genuine interest in working with older adults and supporting resident care
What Sets You Apart
Experience in senior living, healthcare staffing, or workforce scheduling
Knowledge of Dayforce or similar workforce management systems
Ability to build positive relationships with team members while maintaining accountability and consistency
