SECRETARY II
BREIN MCMAHON HIGH SCHOOL
Position Description:
Independently perform a full range of secretarial functions to support the building administration.
Essential Functions:
- Assist in the implementation of Norwalk Board of Education administrative policies, rules, regulations, and directives
- Promote a positive office atmosphere to welcome and assist visitors
- Follow Norwalk school policy to ensure student safety
- Assist staff and students with questions and requests
- Answer telephone calls and respond to inquiries in a timely manner
- Serve as the school office or department office receptionist occasionally
- Operate and maintain office equipment
- Assist tardy students with the sign-in process
- Schedule and arrange meetings, procure space and materials for meetings, invite participants, and be responsible for agendas and note-taking
- Assist with composing, editing, and/or printing department or school-specific materials including, but not limited to, student schedules, master teacher roster, honor roll certificates, report cards, student handbooks, program of studies and notices
- Build, maintain, administer, and support the School-Based Medicaid database and program (department secretary)
- Assist with District mailings and/or department mailings
- Screen letters, memos, reports, and other materials to determine action required
- Assist District staff with the enrollment process
- Compile information from a variety of sources and prepare narratives, statistical reports, or state reports
- Manage inactive and active student files for the purpose of enrollment, disenrollment, out-of-district placements, and/or release of information to schools as requested
- Assist with student obligations
- Assist with school events (e.g., graduation, awards ceremonies, field trips, prom)
- Assist with the preparation and printing of report cards and student transcripts
- Facilitate registration and withdrawal of students in PowerSchool
- Organize and maintain office files
- Maintain respect at all times for confidential information
Required Knowledge, Skills, and Abilities:
- Ability to communicate ideas and directives clearly and effectively, both orally and in writing
- Ability to listen attentively
- Ability to perform assigned tasks effectively
- Considerable knowledge of office systems and procedures
- Knowledge of business communications and math
- Considerable knowledge of office suite software
- Ability to schedule and prioritize workflow
- Organizational and problem-solving skills
- Proficient with QuickBooks
Other Duties and Responsibilities:
- Interact in a positive manner with all staff, students, parents, and visitors
- Promote good public relations by personal appearance, attitude, and conversation
- Respond to questions and requests in a timely and appropriate manner
- Maintain a level of approachability by administration, staff, parents, and visitors
- Perform other related duties as assigned by the immediate supervisor
Qualifications/Certificates:
- High school diploma or equivalency
- 1-2 years of office/secretarial experience
- College training of 15 semester hours, equaling .5 year of experience in the secretarial sciences, may be substituted for two years of experience above clerk level
- Bilingual in Spanish an asset
- Such alternatives to the above qualifications as the Superintendent or designee finds appropriate
Days: Monday � Friday (37.5 hours weekly)
Salary: In accordance with the collective bargaining agreement
Union: NFEP
Work Year: July-June (12 Months)
