Proposal Coordinator
Position Purpose
The Proposal Coordinator supports all aspects of the firm’s marketing and business development efforts, with a targeted focus on specific market sectors aligned with the firm’s strategic priorities. This role coordinates proposals and qualifications, supports sector-based marketing initiatives, and produces high-quality graphics and visual materials that strengthen the firm’s brand, visibility, and pursuit success. The position blends strategic marketing coordination with strong graphic design execution to support firmwide and sector-specific goals.

Essential Duties & Responsibilities

Serve as a primary marketing point of contact for assigned market sectors, aligning efforts with firm-wide marketing strategy.
Perform all other duties as required.
Assist with firmwide marketing initiatives, branding efforts, and special events as needed.
Coordinate with sector leaders and project teams to develop press releases, thought leadership pieces, and marketing content.
Provide marketing support including graphics, award submissions, social media content, internal and external presentations, training materials, and video production.
Maintain and update CRM systems, proposal databases, image libraries, and marketing archives.
Support market research, client tracking, and competitive intelligence efforts across assigned sectors.
Maintain and update content on the company website, including project pages, sector-specific messaging, and visual assets.
Coordinate and manage marketing-related events such as trade shows, conferences, job fairs, client events, and industry outreach activities.
Support sector focused business development efforts through tailored messaging, graphics, and visual storytelling.
Design and produce marketing materials including proposals, project sheets, organization charts, print and digital advertisements, brochures, signage, presentations, and branded collateral.
Manage pursuit schedules, content coordination, and deadlines to ensure timely, accurate, and high-quality deliverables.
Coordinate and manage marketing initiatives across multiple sectors, including proposals, qualifications, presentations, and pursuit-related materials.
Competencies
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficient with Adobe InDesign (Photoshop and Illustrator a plus).
- Strong graphic design skills with an understanding of branding, layout, and visual storytelling.
- Ability to manage multiple deadlines and priorities simultaneously.
- Strong written, verbal, organizational, and time-management skills.
- High attention to detail and quality control.
- Self-motivated, adaptable, and comfortable working independently or across teams.
Qualifications / Prior Experience
- Associate’s or Bachelor’s degree in Marketing, Graphic Design, Communications, or a related field.
- 2–4 years of experience in marketing and graphic design, preferably within an architectural, engineering, industrial, or construction-related firm.
- Experience with Healthcare facing clientele preferred.
- Demonstrated experience supporting industrial or technical marketing efforts preferred.
- Experience with content management systems preferred.
- CRM and proposal creation software experience preferred.
The job is potentially subject to U.S. export control restrictions under ITAR and that employment in the job is subject to verifying the applicant's status as a US person.
