Job Summary

The Bilingual Receptionist is responsible for welcoming and assisting parishioners and visitors while creating an atmosphere of hospitality and professionalism within the Parish Office. This position serves as a primary point of contact for inquiries received in person and by phone and is key to creating a positive and welcoming first impression of the parish.

This position requires the ability to work in a fast-paced environment while demonstrating strong organizational, technical, and interpersonal skills. The ideal candidate maintains a cheerful, positive, and professional attitude, delivers excellent customer service, and manages multiple responsibilities while producing accurate, high-quality work. The candidate must be trustworthy, ethical, detail-oriented, a quick learner, and capable of working both independently and collaboratively as part of a team.

This position will perform office duties as assigned by the Pastor, with professionalism and efficiency, under the supervision of the Director of Operations.


Ministerial Character

The Pastor is the visible principle and foundation of unity in the parish of St. Anthony Marie de Claret which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. To fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.

Positions employed at St. Anthony Marie de Claret Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.


Essential Job Duties: 

· As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St. Anthony Marie de Claret in both your professional and personal life.

· Act as a witness to Gospel values by modeling the teachings of the Catholic Church.

· Create and maintain an atmosphere of hospitality within the Parish Office and reception area

· Provide, in a pleasant and professional manner, a cordial welcome and helpful atmosphere to parish personnel, as well as visitors and callers to the parish. Notify staff of visitors.

· Timely opening and secure closing of the parish office. 

· Answer and route incoming phone calls and inquiries appropriately

· Register, maintain, delete and update the parish family database (Ministry Platform).

· Maintain, delete and register membership in our tithing envelope database (Our Sunday Visitor).

· Receive, process, and record Mass Intentions.

· Process sales of devotional candles and CEF cards. 

· Collect fees and reconcile with finance coordinator. 

· Provides support to the Ethics and Integrity in Ministry program. 

· Serves as primary contact as the parish’s funeral coordinator. 

· Performs other duties as assigned by Pastor, Associate, or Director of Operations. 


Knowledge, Skills and Abilities

· Knowledge of the structure and basic teachings of the Roman Catholic Church.

· Ability to communicate effectively and professionally in both English and Spanish, verbally and in writing

· Knowledge of general office procedures, customer service practices, and reception operations

· Strong interpersonal and hospitality skills with the ability to interact respectfully and compassionately with parishioners, visitors, volunteers, clergy, and staff

· Ability to maintain confidentiality and exercise sound judgment when handling sensitive or private information

· Strong organizational skills with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment

· Proficiency in basic computer applications including Microsoft Office (Outlook, Word, Excel) and the ability to learn parish management software and office systems

· Ability to answer, screen, and route incoming calls and respond appropriately to inquiries

· Ability to perform accurate data entry and maintain organized records and files

· Strong attention to detail and ability to follow written and verbal instructions accurately

· Ability to work independently while also contributing positively as a member of a team

· Ability to adapt to changing priorities and maintain professionalism under pressure

· Demonstrated initiative, reliability, and a positive attitude when serving others

· Knowledge of or willingness to learn parish policies, procedures, and Catholic parish operations

· Ability to maintain a welcoming, service-oriented environment consistent with the mission and values of the parish


Minimum Qualifications:

Education and Trainings:

· High School Diploma or GED acceptable to the Texas Education Agency.

Experience:

· Previous experience as a receptionist, administrative assistant, or in a customer service role preferred

Language:

· English (proficient in conversing, reading, and writing)

· Spanish (proficient in conversing, reading, and writing). 

· Must be a practicing Roman Catholic in good standing.

Licenses/Certifications:

· Valid Texas driver’s license.

· Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.


Working Conditions:

· All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church. 

· The Parish is an at-will employer.

· All buildings and vehicles owned by the Parish are tobacco-free.

· Working in a fast-paced environment with priorities and plans that may change rapidly.

· Working on weekends, evenings, and some holidays may be required.

· Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations. 

· Will be required to adhere to established dress codes and conduct standards.

· May be required to use personal or parish vehicle to drive to off-site locations.

· Traveling within and outside the parish to meetings and other events may be required, and travel may require overnight lodging.
