General Description

The Admissions Events Specialist is responsible for planning, coordinating, and executing a portfolio of admissions events that support UNF’s recruitment, yield, and student engagement goals. This role manages the full event lifecycle—from initial planning through post-event reporting—and maintains a student-centered approach aligned with university brand standards. The Specialist works within the Welcome Center and Admissions & Enrollment Services division, collaborating with campus departments, marketing, academic colleges, and external partners to deliver effective, data-informed event experiences for prospective students and their families.


Job Functions

Event Planning, Execution & Operations

  • Lead the end-to-end planning and execution of small- to mid-scale events, including Test Prep workshops, GEAR UP, AVID Summit, and Mitch 22 Workshops.
  • Support the planning and execution of large-scale recruitment and yield events, including Open Houses, Apply in July, Admitted Ospreys Day (AOD), and Saturday at the Nest (SATN), in collaboration with the Assistant and Associate Directors of Admissions.
  • Manage all event logistics, including catering, space reservations, signage, supply inventory, vendor coordination, and printed materials.
  • Develop event timelines and staff assignments, ensuring advance distribution to all involved parties.
  • Oversee event setup, day-of operations, and post-event breakdown.
  • Coordinate virtual event delivery, including platform setup and technology operations.
  • Independently organize, pack, and prepare all event materials and supplies in advance of each program.
  • Serve as a liaison with campus departments and external vendors to facilitate event logistics and partnership coordination.

Strategy, Communication & Reporting

  • Maintain timely and professional communication with internal and external stakeholders before, during, and after events.
  • Support event promotion efforts and coordinate social media campaigns in alignment with university brand standards.
  • Track event engagement, attendance, and yield indicators in Slate (CRM).
  • Complete post-event reports and participate in debrief processes to evaluate outcomes and identify areas for improvement.
  • Contribute to messaging strategy and student experience storytelling to support enrollment and yield goals.
  • Collaborate with marketing, academic colleges, and enrollment leadership to align event programming, messaging, and recruitment strategy.

Marginal Functions

  • Supervise Welcome Center operations in the absence of the Assistant Director of Campus Tours.
  • Greet and assist prospective students and their families; provide campus tours and public speaking support as needed.
  • Delegate tasks to the Events Assistant and monitor the Events and Welcome Center inbox as needed.
  • Perform data entry, phone support, and mailing of recruitment materials.
  • Maintain and operate office equipment, including printers, laminators, laptops, iPads, and golf carts.
  • Support general admissions initiatives and provide coverage for team functions as needed.

 

Required Qualifications

Bachelor's degree or a high school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
