Job Description

We are currently seeking a Service Delivery Scheduler to join our Department of Corrections and Ministry of Justice team based in Wellington. Reporting to the Senior Site Facilities Manager, this role plays a key part in supporting the effective delivery of high-quality outcomes that underpin our essential services. The successful candidate will contribute to the coordination and continuous improvement of service delivery across this critical portfolio.

Te Kōwhiringa | The Opportunity 

Downer holds a long-term Asset Management and Facilities Management contract with the Department of Corrections and the Ministry of Justice that proactively manages and delivers to the national portfolio of facilities including 15 prisons, 98 courts and 141 community correctional sites. 

In this role, you will provide administrative services to support the contract by having great attention to detail. This role will suit a dynamic person who has a real interest in supporting the business and making things happen!

 

What You’ll Do 

This role offers a broad scope, with key responsibilities including:

  • Oversee and coordinate the delivery of Planned Maintenance and Reactive Works, ensuring alignment with contractual KPIs.

  • Manage relationships with Sub-Contractors, ensuring site work is completed to meet KPIs and schedules.

  • Act as the primary point of contact for Sub-Contractors, ensuring compliance with safety and entry requirements.

  • Communicate effectively with clients, suppliers, and internal teams to achieve desired outcomes.

  • Drive continuous improvement in operational processes to enhance margins, client satisfaction, and company reputation.

  • Experience coordinating maintenance, inspections, and work schedules in a fast-paced environment

  • Ability to effectively liaise with site teams, managers, contractors, and customers

  • Proven experience working with multiple internal and external stakeholders to deliver outcomes

  • Skilled in monitoring schedules, managing KPIs, and handling extensions where required

  • Ability to optimise labour utilisation through effective planning and prioritisation

  • Identifies system issues and contributes to process improvements

  • Ensures correct asset data, job triaging, and reporting accuracy

  • Proficient in MS Office (especially Excel/Word) with experience in scheduling systems (e.g. MS Dynamics advantageous)
