What You’ll Do
We are seeking a Field Marketing Specialist to support Horizon3.ai’s global field and events marketing team with the operational and logistical execution that keeps programs running without friction. This role is the connective tissue between program strategy and on-the-ground execution - owning the shipping, inventory, procurement, vendor coordination, and administrative work that ensures every field program and corporate event shows up on time, on brand, and ready to perform. You will report to the Head of Field Marketing, North America and support field and events teams globally across AMER and EMEA. You are organized, proactive, and take pride in the details that others don't notice until something goes wrong. You thrive in a fast-moving environment, manage multiple requests simultaneously without dropping anything, and understand that operational excellence is what separates a good event from a great one.
Event Logistics and Materials Management
Own the end-to-end coordination of event materials and branded merchandise across all global field programs and corporate events - including tablecloths, signage, apparel, giveaways, swag kits, and booth materials.
Maintain a global event materials inventory, tracking what exists, what needs to be reordered, and what needs to be retired or refreshed - ensuring the team is never scrambling for materials at the last minute.
Coordinate shipping and fulfillment for all field events and corporate programs - managing timelines, carrier relationships, tracking, and delivery confirmation so materials arrive on time and in full.
Manage the return, storage, and reconciliation of event materials post-program, keeping inventory accurate and organized for future use.
Partner with the brand and design team to ensure all physical event materials are current, on-brand, and reflective of Horizon3.ai's enterprise positioning.
Procurement and Vendor Coordination
Process all field and events marketing procurement requests through Horizon3.ai's procurement and finance systems - including vendor setup, purchase order creation, invoice tracking, and budget coding.
Serve as the primary point of contact for event vendors, print houses, promotional product suppliers, and fulfillment partners - managing relationships, timelines, and quality standards across all orders.
Obtain and compare vendor quotes, flag cost variances, and surface recommendations to the field and events team leads to ensure spend is efficient and within budget.
Track and reconcile field marketing expenses, maintaining accurate and up-to-date records that support budget reporting and end-of-quarter reconciliation.
Support contract and SOW processing for event vendors and venues in partnership with legal and finance, ensuring documentation is complete and approvals are in place before commitments are made.
Program Support and Administration
Support field marketing and events managers across AMER and EMEA with administrative tasks that keep programs on track - including event registrations, attendee list management, speaker and sponsor coordination, and internal communications.
Manage event tool and platform logistics including booth registrations, badge orders, lead retrieval device rentals, and exhibitor service kit submissions for third-party conferences and tradeshows.
Maintain organized, up-to-date program documentation including event calendars, shipping trackers, vendor contacts, and materials inventories in the team's project management system.
Coordinate internal requests for branded materials, event supplies, and field program support - triaging incoming asks, setting expectations on timelines, and following through to completion.
Support the onboarding and coordination of temporary event staff or contractors for flagship programs as needed.
Cross-Functional Coordination
Work closely with the brand and design team to manage production timelines for event-specific creative assets, printed materials, and branded merchandise.
Partner with marketing ops and finance to ensure all procurement activity is correctly coded, tracked, and reported against the right budget lines.
Support the Corporate Events Manager and field marketing managers with logistics coordination for flagship programs including Black Hat, RSAC, Gartner SRM, the Global Partner Conference, User Conference, and Customer Advisory Board.
Communicate proactively with internal stakeholders on shipping status, material availability, procurement timelines, and any risks to program readiness.
What You’ll Bring
2+ years of experience in field marketing, event coordination, marketing operations, or a related role with demonstrated ownership of logistics and administrative execution.
Proven ability to manage multiple concurrent requests, timelines, and stakeholders without losing detail or momentum.
Experience coordinating event materials, merchandise, and shipping logistics across multiple programs simultaneously.
Familiarity with procurement and purchase order processes - comfortable working within finance and procurement systems to process requests, track invoices, and reconcile expenses.
Strong vendor management instincts - able to hold suppliers accountable to timelines and quality standards while maintaining productive working relationships.
Highly organized with a strong attention to detail and a bias toward documentation, process, and follow-through.
Comfortable working in a fully remote, fast-moving environment across multiple time zones.
Strong written and verbal communication skills, with the ability to manage inbound requests clearly and set accurate expectations on timelines and deliverables.
Proficiency with project management tools such as Asana, Monday.com, or similar platforms for tracking tasks, timelines, and program status.
What Sets You Apart?
Experience supporting field marketing or events programs in a B2B SaaS or cybersecurity environment.
Familiarity with event platforms and exhibitor processes for major industry conferences such as Black Hat, RSA, or Gartner events.
Experience with branded merchandise platforms and promotional product suppliers.
Familiarity with Salesforce for basic campaign and event tracking.
Experience supporting global teams across AMER and EMEA time zones.
Travel Required
This role may require up to 15% travel to support flagship corporate events and key field programs.
Job-related travel expenses are reviewed and must be approved by your manager.

In accordance with various State’s transparency regulations, we provide the following salary range information for this position:
Base salary range: $89,000 - $110,000 annually. The exact salary will be determined based on the selected candidate’s location, qualifications, experience, and relevant skills.
Additional compensation: All full-time roles are eligible for an equity package in the form of stock options.
