We are seeking an Assistant Delivery Operator who is responsible for payroll deliveries – from both accepting payrolls to delivery of completed payroll packages. This is done through building trusted relationships, through excellent communication skills and management for not only clients, but various integrated EP Centers of Excellence. It is imperative that this position work closely with Paymasters, Client Services, Finance, Payroll Systems, Facilities, Internal Support Operators and outside vendors in executing and fulfilling requests in accurate and timely fashion. The Delivery Operator is responsible for a high level of work performance, security, reliability, anticipation, adaptability, efficiency, and various forms of client services, however it those may be presented.
KEY RESPONSIBILITIES
- Assist with verification, preparation, packaging and distribution of payroll packages (inclusive of invoices and payroll checks) for careful release and delivery
- Work closely with Paymasters, Client Services, Finance and Facilities in executing requests in a timely, secure and accurate manner
- Assist with routine email responses/confirmations, scanning invoices, printing documents received by email, screening and routing incoming requests, and general clerical support.
- Provide welcoming and personalized service for Clients, PWEs and EP Visitors
- Prepare packages for mailing and send out confirmations; work closely with EP vendors and couriers
- Maintain proficient knowledge of internal procedures and processes
- Utilize various computer programs: keep current with any updates or changes;
- Participate in cross-training
- General clerical support
- Special projects as needed
- Support and execute policies developed by COE Executive and support to promote unity, cooperation and harmony within the department to achieve common goals
- Maintain high degree of confidentiality of client information, data provided by client and all EP proprietary information such as internal processes, computer programs and databases (see Employee Handbook for further information and requirements)
JOB REQUIREMENTS/QUALIFICATIONS NEEDED
- Familiarity with accounting practices, (entertainment industry accounting/payroll background preferred)
- Clerical ability with emphasis on data entry and file maintenance
- Ability to type 40 wpm, 10 key by touch, preferred
- Experience in and aptitude to learn the use of computer programs and applications including Microsoft Office - Word, Excel, Outlook
- 2-3 Years Experience
- Ability to concentrate on a task over a period of time without being distracted
- Good organizational skills
- Excellent attention to detail
- Overtime – Work as and when needed
- Good Communication to include active listening, written and oral comprehension and expression
- Knowledge of electronic databases and tracking systems
- Effective interpersonal skills
- Ability to be flexible and adaptable in the workplace
- Ability to lift 40 pounds
