Overview

The Purchasing Supervisor is responsible for overseeing all purchasing, receiving, inventory control, and distribution functions for Food & Beverage operations. This position ensures timely procurement of quality products at competitive pricing while maintaining proper inventory levels, cost controls, and operational efficiencies across multiple outlets and departments.


The Purchasing Supervisor plays a critical role in supporting hotel operations, banquet functions, restaurants, bars, and other departments by maintaining strong vendor relationships, monitoring product usage trends, and ensuring accurate receiving and inventory procedures.

Responsibilities

Purchasing & Procurement
Purchase food, beverage, operating supplies, and equipment according to company standards and budget guidelines.
Maintain appropriate inventory levels to support operational needs while minimizing waste and overstock.
Research pricing, negotiate with vendors, and identify cost-saving opportunities.
Monitor market trends, shortages, and product availability.
Ensure all purchases comply with company policies and approved vendor programs.


Inventory Management
Oversee monthly inventory counts and reconciliation processes.
Maintain accurate inventory records and reporting.
Monitor product usage, transfers, spoilage, and variances.
Assist department leaders with inventory control procedures and cost management initiatives.
Ensure FIFO rotation and proper product storage standards are followed.


Receiving & Distribution
Supervise receiving operations and verify deliveries for accuracy, quality, and pricing.
Ensure all deliveries are properly documented and entered into inventory systems.
Coordinate distribution of products to restaurants, banquets, kitchens, and other departments.
Proper storage of items in coolers / dry storage areas in a timely manner when deliveries arrive on property
Work closely with department managers to address product shortages or quality concerns.


Financial & Administrative
Review invoices and resolve discrepancies with vendors and accounting.
Reconcile invoices in a timely manner for the month in the month.
Generate purchasing and inventory reports for leadership review.
Support month-end closing processes and audit requests.


Leadership & Operational Support
Maintain cleanliness, organization, and safety standards in storage areas.
Collaborate with culinary, banquet, restaurant, housekeeping, and hotel operations teams.
Support operational initiatives, special events, and high-volume business demands.

Qualifications

Qualifications
Minimum 2–5 years of purchasing, inventory, warehouse, or hospitality operations experience preferred.
Hospitality, hotel, restaurant, or food service purchasing experience strongly preferred.
Strong organizational and time management skills.
Knowledge of inventory systems, purchasing procedures, and cost controls.
Experience with POS systems, inventory software, and Microsoft Excel preferred.
Ability to multi-task in a fast-paced environment.
Strong communication and vendor negotiation skills.
Ability to lift up to 50 pounds and work in receiving/storage environments.


Preferred Skills
Understanding of food safety and sanitation standards.
Experience managing multi-outlet inventory operations.
Strong analytical and problem-solving abilities.
Ability to work independently and maintain confidentiality.
Knowledge of hotel and banquet operations preferred.

Maintain accurate inventory and receiving records.
Support departmental food and beverage cost goals.
Ensure timely and accurate ordering processes.
Reduce waste and improve purchasing efficiencies.
Maintain strong vendor and interdepartmental relationships.
Demonstrate leadership, accountability, and operational support across all departments.


Schedule & Availability
Flexible schedule required, including weekends and holidays as business demands dictate.
Ability to support early morning receiving and high-volume event operations as needed.

 

Compensation Range:

 

The compensation for this position is $25.00/hour based on qualifications.
