Job Description
Position Summary The Office Support Specialist works under the direction of the Department Chair and Business Administrative Associate and provides administrative support to faculty members of the Department of Psychiatry and Behavioral Medicine at the University of Illinois College of Medicine at Peoria. The person in this position will work with multiple computer systems and perform a wide variety of office support tasks. Duties Responsibilities Manage incoming calls to the main department phone, greet visitors, answer questions, and respond to requests. Work with the Outpatient Division Director to coordinate monthly Clinical Operations meetings by preparing materials. Attend meetings, record minutes, and order food as requested. Provide communication to all committee members, and serve as liaison between the Outpatient Division Director and the committee. Maintain and report financial records for the Center for Wellbeing (CFW). Serve as liaison for CFW referrals. Assist in scheduling CFW appointments and manage documents and confidential information. Send out invoices and correspondence as needed. Work with the billing office on claims submissions and payments. Report fiscal activity to the Department Chair, CFW Director, and Business Administrative Associate. Maintain confidential records or files for the department and clinic, including departmental directories and patient lists. Organize and file paperwork as needed, including retrieving and copying department and clinic records. Compose correspondence and mail as necessary. Proofread documents, such as departmental forms, and order print jobs as needed. Order, organize, stock and maintain departmental office supplies. Maintain and organize the clinic staff break room and storage areas. Provide administrative and operational support to Post-doc and Child and Adolescent Fellowship directors. Coordinate schedules, communications, and program activities. Assist the Department Chair and Business Administrative Associate with projects and perform other related duties as assigned.
