Job Description

Program Operations Manager

At Orion180, we don’t just stand out for what we do; we shine because of how we do it. Our mission is to deliver an exceptional insurance experience through innovative technology, unparalleled customer service, and a comprehensive suite of products. Our vision is to be the premier global provider of insurance solutions and redefine the insurance industry.

Orion180 is proud to call three vibrant cities home. Our headquarters on Florida’s stunning Space Coast in Melbourne offers an exceptional quality of life, with affordable housing, excellent transportation, and close proximity to major cities like Orlando, Tampa, and Miami. Our Irving, Texas, office places us in a dynamic center of culture, business, and entertainment, keeping us closely connected to innovation and growth. Our Draper, Utah, location, nestled in the heart of the Salt Lake Valley, connects us to a rapidly growing tech ecosystem and provides access to the outdoor lifestyle and natural beauty the region is known for.

Orion180 is seeking a Program Operations Manager to serve as the operational backbone of the Value Streams organization within Innovation & Technology.

This role supports the Director of Value Streams by managing portfolio operations, cross-stream coordination, and delivery reporting - ensuring the Director can focus on strategic alignment and stakeholder engagement rather than operational mechanics. You will be the person who keeps the rhythm of the business running across 5 value streams, tracking dependencies, consolidating status, managing the Planview intake queue, and preparing the portfolio-level reporting that leadership relies on. This is a hands-on role in a fast-moving environment. We value people who take ownership, drive clarity, and don’t wait to be asked.

WHAT YOU’LL DO:

  • Cross-Stream Coordination: Track and manage dependencies across all 5 value streams. Facilitate the weekly cross-stream coordination meeting. Identify conflicts early and drive resolution before they become blockers.
  • Portfolio Operations: Manage the Planview intake queue - ensure new requests are captured, routed to the correct stream, and tracked through the prioritization process. Maintain portfolio-level status visibility for leadership.
  • Status Consolidation: Aggregate delivery status from all 5 streams into a consolidated portfolio view. Prepare weekly and monthly delivery reports for the Director of Value Streams and VP of Innovation & Technology.
  • Capacity Reporting: Track resource allocation and capacity across streams. Flag capacity conflicts or underutilization. Support the Director in sprint capacity planning decisions.
  • Meeting Preparation: Prepare agendas, decision packages, and briefing materials for the Director’s stakeholder meetings, operational reviews, and leadership presentations.
  • PM Pool Coordination: Manage the assignment of shared Project Managers to cross-functional initiatives. Track PM workload and availability so the right PM is assigned to the highest-priority work.
  • Process Support: Partner with the Standards Manager so all streams follow the defined delivery processes. Flag process deviations and drive corrective action through the Sr Managers, Product Delivery.
  • Escalation Tracking: Maintain an escalation log for cross-stream issues. Ensure escalated items are tracked to resolution and don’t fall through the cracks. • Tooling: Serve as the power user for Planview and Azure DevOps at the portfolio level. Build and maintain dashboards, reports, and views that give the Director and VP real-time visibility into delivery health.

WHAT WE’RE LOOKING FOR:

Education:

  • Bachelor’s degree in business, Information Systems, or related field, or equivalent experience.

Experience:

  • Minimum 4+ years in program operations, PMO coordination, delivery operations, or portfolio management roles.
  • Strong experience with portfolio and project management tools - Planview experience is strongly preferred; Azure DevOps proficiency required.
  • Demonstrated ability to manage cross-team coordination and dependency tracking across multiple concurrent workstreams.
  • Excellent organizational skills with strong attention to detail - you keep the trains running on time.
  • Strong communication skills - you can prepare executive-level reports and facilitate cross-functional meetings with confidence.
  • Experience building dashboards and operational reports that drive decision-making.
  • Comfortable working in a fast-paced environment where priorities shift and you need to adapt quickly.
  • Self-starter who takes initiative - you see a gap and fill it without being asked.
  • Insurance or financial services industry experience is a plus. • PMP, PMI-ACP, or SAFe certifications are a plus but not required.
