Atlantic Medical Imaging is seeking a Patient Access Specialist to join the team in the Corporate Office location. This position will focus on optimizing patient schedules throughout the AMI offices.
The Patient Access Specialist is responsible for optimizing resource schedules and ensuring the appropriate utilization of resources, while collaborating with other AMI departments and leaders. The Specialist effectively solves complex situations by analyzing issues, exercising sound judgment, and leveraging software tools to support timely and accurate resolution. This role requires the ability to work independently, anticipate needs, and function as a self starter, while delivering high-quality service and supporting all individuals throughout the scheduling process.

The responsibilities of the Patient Access Specialist include, but are not limited to:
- Monitors schedules and takes action to fill available slots including contacting patients via outreach call, use of nudging technology or other appropriate means.
- Identifies opportunities to adjust times of scheduled studies to create additional time slot and contacts patients to discuss adjusted time.
- Proactively moves patients up in the schedule when opportunities arise, ensuring minimal dead time and maximum equipment utilization.
- Identifies trends in volume and recommends schedule adjustments accordingly.
- Identifies patterns and contributing factors and collaborates with office teams or scheduling team to problem-solve.
- Works towards defined goals and benchmarks in terms of schedule optimization and evolving needs of position and organization.
- Independently follows established modality and insurance guidelines to determine the appropriate imaging exam, including the proper location and scheduling timeframe.
- Always maintains patient confidentiality in accordance with HIPAA and organizational standards.
- Provides exam preparation instructions at the time of scheduling.
- Provides complete appointment details to patients, including confirmation of date and time, arrival time, location, preparation instructions, and answers to general questions.
- Advises patients of any additional requirements, such as bringing previous imaging, obtaining prep medications, or other instructions needed for the day of the exam.
- Obtains and enters new patient demographics; updates patient information in the electronic record to ensure accuracy for billing and insurance verification.
- Maintains a strong patient-centered focus by identifying potential issues, taking appropriate corrective action, and following tasks through to completion.
- Provides patients with support and guidance by actively listening, establishing confidence, setting clear expectations, and responding to individual needs.
- Demonstrates expertise in related systems, software platforms, and data sources, fully utilizing programs and resources to ensure efficiency in work processes.
- Demonstrates strong multitasking abilities while maintaining accuracy, professionalism, and a calm demeanor in high-volume or challenging situations.
- Exercises and independently utilizes strong problem-solving skills by defining issues, evaluating options, and identifying workable solutions.
- Communicates effectively with patients, providers, and internal team members in a clear, professional, and courteous manner.
- Assists colleagues as needed to support workflow continuity and enhance overall patient care delivery.
- Completes detailed work assignments accurately and within expected timeframes.
- Complies with all organizational policies, procedures, and ethical business practices.
- Consistently upholds organizational standards and performs duties with integrity.

This full time, 40 hour per week position is based in AMI's Corporate Office location and is a fully on-site position. The work schedule includes Monday-Friday, 8:30am-5pm. Schedules are subject to change based on department needs.
Candidates must have a high school diploma or equivalent. Candidates must have professional work experience with radiology scheduling or medical office scheduling. Strong computer & IT skills are required, with demonstrated experience working in medical IT platforms, EMR, and RIS systems. Candidates must also have experience with the Microsoft Office Suite, with the ability to learn and adapt to new systems and changing technologies.
This position involves managing a high volume of work while working towards defined goals and benchmarks pertaining to schedule optimization. Candidates must demonstrate the abilities to work as a self-starter and anticipate needs, working between various platforms, while maintaining a highly organized approach to their work. Exceptional communication skills, both written and verbal, and interpersonal skills are required for success in this role. The ability to problem solve and develop creative solutions is necessary to be successful in this role.
