The Position
The Office Services Specialist plays an integral role in supporting Rudin’s day-to-day operations as part of the Corporate Services and Hospitality team. This position operates in a fast-paced, service-driven environment and requires a high degree of flexibility, professionalism, and collaboration.
Responsibilities
- Provide reception coverage and front desk services
- Coordinate and distribute incoming and interoffice mail across the corporate headquarters, including multiple office floors and business partner locations.
- Perform daily courier responsibilities, including USPS runs and bank deposits
- Manage package shipping and receiving activities, including signing for, tracking, and distributing deliveries from FedEx, UPS, USPS, DHL and certified mail services.
- Provide audio/visual support for meetings and events
- Serve as the on-site coordinator for contractors, security personnel, vendors, and other service providers
- Expedite and run errands for executive team
- Support document management processes, including scanning, electronic filing, hard- copy archiving, and document destruction services
- Maintain & troubleshoot office equipment
- Perform hands-on minor facility and office repairs, including appliances, lighting, furniture, and miscellaneous hardware
- Maintain and order office supplies within Yardi
- Assist with additional operational, administrative, and special project responsibilities as assigned.
Requirements
- High school diploma or equivalent
- Strong interpersonal and communication skills with the ability to interact professionally with employees, executives, vendors, and visitors.
- Demonstrated ability to multitask, prioritize responsibilities, and maintain attention to detail.
- Proficiency in Microsoft Office Suite and experience using systems such as Yardi or similar inventory/work order platforms preferred.
- Ability to lift and move packages or office supplies.
- Dependable, flexible, and team-oriented with a strong customer service mindset.
- Ability to maintain confidentiality and exercise professionalism when supporting executive leadership and corporate operations.
