The University of Miami/UHealth Department of Orthopedics has an exciting opportunity for a full time, hybrid Surgery Scheduler 1 to work in Miami, FL. The Surgery Scheduler assists with the coordination and scheduling of surgical procedures and serves as liaison between physicians, medical staff, and other departments to ensure smooth scheduling operations. Moreover, the Surgery Scheduler works directly with patients and strives to provide an excellent healthcare experience.
CORE JOB FUNCTIONS
Schedules surgical appointments and monitors cancellations, keeping daily schedule accurate and current.
Completes necessary paperwork prior to pre-op appointments and obtains referrals and authorizations.
Follows up with appropriate departments to ensure that all pre-op results are available prior to the procedure.
Informs patients regarding activities that will take place during the visit and provides pamphlet of appropriate surgical facility.
Apprises patients of financial responsibilities prior to the date of the procedure.
Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
High School diploma or equivalent
Minimum 1 year of relevant experience
Knowledge, Skills and Attitudes:
Ability to communicate effectively in both oral and written form.
Skill in completing assignments accurately and with attention to detail.
Ability to process and handle confidential information with discretion.
Ability to work independently and/or in a collaborative environment.
Proficiency in computer software (i.e., Microsoft Office).
DEPARTMENT SPECIFIC JOB FUNCTIONS
Coordinates scheduling of orthopaedic surgical procedures, including joint replacements, sports medicine procedures, spine surgeries, fracture repairs, and other musculoskeletal interventions.
Acts as the primary liaison between orthopaedic surgeons, physician assistants, patients, and multidisciplinary care teams to ensure seamless perioperative coordination.
Schedules all related pre-operative requirements specific to orthopaedics, including imaging (X-rays, MRI, CT scans), medical clearances, and specialty consults (e.g., cardiology, anesthesia clearance).
Obtains and verifies insurance authorizations for orthopaedic procedures, implants, durable medical equipment (DME), and post-operative rehabilitation services.
Coordinates implant, equipment, and vendor needs (e.g., joint replacement systems, arthroscopy equipment, spine instrumentation) with hospital supply chain and vendor representatives.
Oversees and distributes detailed surgical schedules, ensuring alignment with surgeon block time, operating room availability, and case complexity.
Ensures all required orthopaedic documentation is complete, including surgical consents, implant logs, pre-op checklists, and clinical notes needed for billing and compliance.
Communicates surgical logistics and preparation instructions to patients, including pre-operative restrictions, post-operative expectations, and rehabilitation planning.
Collaborates with physical therapy, occupational therapy, and case management teams to coordinate post-surgical care pathways and discharge planning.
Monitors and prioritizes urgent or add-on orthopaedic cases (e.g., trauma/fractures) to ensure timely surgical intervention.
Identifies inefficiencies in orthopaedic scheduling workflows (e.g., block utilization, turnover times) and provides recommendations to improve access and operational performance.
Ensures accuracy and optimization of scheduling systems (e.g., Epic, OR scheduling tools), including maintaining surgeon preference cards and case duration estimates specific to orthopaedic procedures.
Serves as a lead resource for orthopaedic scheduling staff, providing guidance, training, and onboarding support to ensure adherence to best practices and departmental protocols.
Maintains compliance with institutional, regulatory, and payer-specific guidelines related to orthopaedic surgical scheduling and documentation.
Supports patient-centered care by addressing scheduling barriers, coordinating complex cases, and ensuring a high level of service for orthopaedic patients across the continuum of care.
