Overview
Facility Coordinator/Clerk (SWFPAC 2026-25316):
Bowhead seeks a Facility Coordinator/Clerk to maintain efficient operations of up to forty-two (42) facilities operated or occupied by MCSFBN personnel.
Responsibilities
Essential functions will include:
- Responsible for the administrative and logistical "backbone" of facility operations.
- Track and update all trouble calls submitted to Region Base Operations Services Contractor (BOSC).
- Maintain a Government provided Work Order Log and update on a daily basis.
- Obtain status from the Region BOSC, designated Government Functional Area Lead / TA, and SWFPAC Facility Department to update the Work Order Log. All overdue Work Orders as well as active Work Orders being completed are to be verified as open or complete.
- Any overdue and/or work orders which are not or cannot be completed by Region BOSC will be reported to the MCSFBn Facility Manager for resolution.
- Maintain work order list by building and make available to MCSFBn Facility Manager
- and SWFPAC (SPB 12) Facility Group when requested.
- Report actions taken to the MCSFBn Facility Manager and affected MCSFBn leadership as requested.
- Maintain a daily Galley Work Order Log for three (3) MCSFBn Galleys in Area of Operation, Galley Work Order Log Database, Washer/Dryer Report, Washer/Dryer Historical Database, Work Order database, and Facility/Minor Project Work Order Tracking Report.
- Track work orders will be tracked to completion, and maintain a database of completed work orders.
- Assist in minor upgrade requests (bullets), for facilities related to scoping, and pricing.
- Maintain historical database for Annual Trouble Call statistics (i.e. Number of trouble calls submitted, completed, overdue, open) by month, will be provided by the COR.
- Maintain key custody for MCSFBn occupied buildings and spaces.
- Maintain and issue keys from a designated lock box and inventory all keys monthly and report status and discrepancies to MCSFBn Facilities Manager, Deputy Logistics Officer, and Logistics Officer.
- Submit on a monthly basis Key Custodian Program Report tracking the key inventory.
- Coordinate with MCSFBn Facilities Manager to resolve key discrepancies.
- Conduct monthly building, safety, fire and fire extinguisher inspections for MCSFBn occupied buildings and spaces.
- Other duties as assigned
Qualifications
- Minimum high school diploma or equivalent (GED) Bachelor’s degree is preferred in a relevant field such as business, facility management, or a related technical field.
- A minimum of one to two years of administrative experience, including record keeping, filing, and managing correspondence.
- Three to five years of specialized experience in facility operations, maintenance scheduling, or procurement.
- Proficient at operating and managing Computerized Maintenance Management Systems (CMMS) for tracking work orders.
- Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint.
- Ability to understand, speak, read, and write the English language.
- Ability to communicate effectively with all levels of employees, Government Representative, and outside contacts.
- Strong interpersonal skills and good judgment with the ability to work alone or as part of a team.
- Valid driver’s license in the state of employment with an acceptable driving record.
Physical Demands
- Must be able to lift up to 50 pounds.
- Must be able to stand and walk for prolonged period amounts of time.
- Must be able to twist, bend, and squat periodically.
- High noise levels are common as is the potential exposure to heat/cold, noise, dusts, mist, and/or fumes.
Security Requirements: Must be able to maintain a security clearance at the Secret level. US Citizenship is a requirement for Secret clearance at this location
