Office Services Coordinator – Parent Information Network (PIN)
Location: Parent Information Network
Hours: Monday - Friday 9:00am-5:00pm
Salary Range: $24-$26/Hr
FLSA Status: N-$on‑Exempt

What You’ll Do:
The Office Services Coordinator provides essential administrative and operational support to the PIN program while serving as a central point of contact for staff, families, and community partners.
Administrative & Office Support
• Assist Program Director, Educational Consultant, and staff with data collection, compilation, and analysis
• Prepare correspondence, reports, memoranda, and program materials in a professional and confidential manner
• Maintain filing systems and program databases, ensuring accuracy and organization
• Record program data and documentation for billing and reporting using Excel
• Maintain office equipment, order supplies, and ensure a clean, organized reception area
• Provide courier services for the program
Front Desk & Communication
• Greet and direct visitors, families, and staff in a professional and courteous manner
• Serve as the primary contact for reception and telephone communications
• Assist families and staff with accessing resources and navigating program services
• Maintain and promote the program resource center
Program Coordination & Support
• Assist with program budgeting, billing documentation, and financial tracking
• Act as Financial Officer for the program
• Prepare for staff meetings and record/transcribe meeting minutes
• Distribute and track consumer satisfaction surveys for DMH and BAMSI
• Coordinate childcare worker scheduling
• Assist with planning and organizing program events and activities (including occasional evenings/weekends)
Communications & Outreach
• Serve as lead editor for program e‑newsletter
• Maintain and update website content
• Create program materials such as flyers, calendars, and outreach materials using Canva/Publisher
• Support community outreach and awareness efforts
Other Responsibilities
• Assist staff and families with agency/program policies and procedures
• Follow all BAMSI policies, procedures, and safety standards
• Perform additional duties as assigned
What You Bring:
Education & Experience:
• Minimum of 3–5 years of administrative assistant experience required
• Experience in human services or working with families strongly preferred
Skills & Qualifications:
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Knowledge of PowerPoint, Canva, and Publisher preferred
• Strong organization, multitasking, and time management skills
• Excellent written and verbal communication skills
• Ability to work in a fast‑paced, high‑visibility, confidential environment
• Strong customer service and interpersonal skills
• Ability to work both independently and as part of a team
Additional Requirements:
• Professional, friendly, and courteous demeanor
• Understanding of the needs of families with children experiencing emotional or behavioral challenges preferred
• Ability to operate standard office equipment (copier, fax, etc.)
