Job Description
POSITION SUMMARY
The Senior Program Director of Healthy Lifestyles and Membership is responsible for the Healthy Lifestyles and Membership Department. In the role of Healthy Lifestyles Director, the position is responsible for the development and operation of Healthy Living programs, member support and engagement, membership growth and retention, fiscal management, volunteer and staff development, program marketing and communications.
In the role of Membership Director, this position is responsible for developing and implementing a comprehensive membership marketing plan for acquisition and retention. Other responsibilities include: management of new members, registration, record keeping and quality service. This position plays a key role in annual fundraising, marketing and new member acquisition, retention, involvement, and engagement.
Other key functions include budget development, fiscal management, and staff development including staff recruitment, training, and evaluation. This position is key in communicating the YMCA Mission and Goals to the members, staff, and community.
MINIMUM QUALIFICATIONS
- EDUCATION: High School Diploma; Either a Bachelor’s Degree or Bachelor’s Degree in Physical Education, Kinesiology, Exercise Science, Marketing, or a related field preferred.
- CERTIFICATION: YMCA Foundations of Strength and Conditioning, Foundations of Group Exercise certification, or equivalent certification preferred.
- SPECIALIZED SKILLS: Strong character values; excellent communication skills; strong computer skills and a thorough knowledge of the Microsoft Office Suite.
- RELATED EXPERIENCE: Experience working in the fitness industry; customer service experience; 3+ years of supervisory experience.

- You must have the physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodations.

ESSENTIAL FUNCTIONS
- Ensure a welcoming environment in the Healthy Living Department and Membership Department for all members and guests.
- Oversee and conduct ongoing program member evaluations and surveys to ensure that high levels of quality in programs are maintained at all times; ensure outcomes align with the needs of the community and the branch strategic plan.
- Set an example for all staff by greeting members by name and taking the initiative to talk to members.
- Communicate program information, registration information, schedules, etc., effectively and consistently with branch management and membership staff. Update program brochures and fliers to ensure strong communication throughout the branch.
- Implement and manage membership marketing, sales and retention plans to promote membership growth for the YMCA.
- Develop and achieve monthly, quarterly, and annual membership enrollment goals.
- Ensure all membership and program enrollments are processed accurately and thoroughly.
- Build strong relationships with members and the community by evaluating the scope and quality of the membership, programs offered, community needs, cost and other collaborations.

- Recruit and hire staff using screening tools and panel interviews to gain the best possible fit with each opening.
- Provide direct supervision to department staff, assuring that all staff are qualified, certified, and are meeting minimum performance standards for their position.
- Provide training for staff and volunteers on an ongoing basis through staff meetings, special courses and workshops.
- Address all issues and inquiries in an appropriate and timely manner.
- Ensure accurate and professional delivery of YMCA program information and policies.
- Establish and implement procedures for managing members and program member accounts.
- Track, monitor, and follow up with all prospective members that show interest.
- Ensure integrity of branch’s membership revenue processes. Supervise the preparation and submission of membership drafts, invoices and renewals. Monitor compliance with established procedures on cash handling.
- Sets an example for all staff by welcoming and engaging with members.
- Respond to member needs and concerns; address all issues and inquiries in an appropriate and timely manner.
- Actively support and participate in the annual campaign, achieving volunteer recruitment and goals as established by the branch.
- Develop annual operating budget for the two departments. Manage department budget to achieve monthly, quarterly and annual goals. Maintain systems for variance analysis, revenue and expense monitoring and control.
- Develop work schedules, coordinate daily work, and make sure timecards are properly recorded by employees. Manage and schedule appropriate staffing in Dayforce to ensure smooth operations. Responsible for approving staffs timecards at the end of the pay period.
- As required, acquire and manage grants/3rd party contracts in an accurate and timely manner. Prepares and submits reports and documentation.
- Ensure all scholarships are processed accurately to track scholarship dollars given to obtain the appropriate amount of provided assistance.
- Create opportunities (events, initiatives, activities) for members to develop small communities within the branch.
- Participate in community outreach through grassroots outings, building relationships and partnerships with community leaders, local businesses, and local government.
- Attend staff meetings and trainings as required.
- Uphold YMCA policies for safety, supervision, mandated reporting and risk management.
