Job Summary: The Customer Service – Front Desk Representative is responsible for assisting clients at the front desk reception area. The Front Desk Representative also coordinates and organizes appointments and documentation to facilitate the smooth running of reception area.
- Provides a positive first impression of Kitsap Mental Health Services to clients and visitors by extending a cordial welcome and assisting with needs.
- Maintains and schedules appointments following agency scheduling policies.
- Performs patient registration tasks to facilitate customer service. (e.g. schedules patient appointments, takes phone calls, register and update demographics for client accounts).
- Update client billing information. Process payments and co-payments.
- Maintain and manage clients records
- Keeps the lobby entrance tidy (e.g. picks up trash). Alerts housekeeping or maintenance of more extensive needs.
- Provides direction and wayfinding assistance to clients and visitors

- Working knowledge of healthcare insurance.
- Knowledge of electronic medical records.
- Knowledge of general administrative and clerical procedures.
- Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.
- Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/outside the organization, generally regarding routine matters for purposes of giving or obtaining information which may require some discussion.
- Familiarity with computers is very important – staff will learn to use our Electronic Medical Record system, scheduling system, and need to be able to navigate the Microsoft Office.
- Confidentiality – able to maintain confidentiality and adhere to ethical standards
- Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls).
- Demonstrated ability to work independently and as a team member.
- Adaptability – able to adjust approach to meet changing demands and situations including dealing with diverse people.
- The ability to operate a personal computer, fax machine, printer, and copier proficiently.
