General Description:
The Human Resources (HR) Assistant for Licensure provides primary administrative support for the division’s Licensure Department. This position requires handling of confidential information and dealing tactfully with the public, as well as the ability to prioritize and multitask to ensure work is completed both efficiently and effectively.Job Description:
Essential Job Functions:
Performs administrative work required to ensure the efficient operation of the Office of Licensure; Prepares letters, screens visitors, receives and makes telephone calls, responds to, sends, and triages email, and distributes mail
Answers questions regarding teacher licensure, recertification, tuition assistance, and licensure status
Performs research regarding licensure to resolve issues
Provides recertification records to current and past employees
Reviews, organizes, and prepares licensure documentation to determine completion
Acquires required sign-offs for licensure materials; Conducts final review with Licensure Administrators prior to submitting documentation to the Virginia Department of Education (VDOE), when appropriate;
Performs data entry for required licensure documentation in order to ensure compliance with the Code of Virginia and VDOE regulations (statutory requirement)including entering all teacher credentials into the Chesterfield County Public Schools (CCPS) database
Receives and processes required documents to add degrees and endorsements to licenses
Prepares and submits licensure action forms in accordance with Chesterfield County and VDOE policies
Prepares and maintains licensure data regarding new hires, transfers, and terminations
Conducts reviews of all new hires, promotions, and rehires to determine items needed for licensure; Reviews items needed with individuals and follows up as required
Manages the recertification fee process
Assists with job fairs and licensure events through preparation, setup at site, and organization of materials afterwards
Manages the tuition assistance program, under established guidelines
Performs other duties as assigned
Budgetary Responsibility:
This position has no budgetary responsibilities.
Report Preparation:
Prepares licensure and other related reports, as requested
Equipment Operation:
Operates computer, copier, fax machine, scanner, phone, and other general office equipment
Contacts:
Contacts are made at all organizational levels both within and outside the department and division, including frequent contact with CCPS Principals and Administrators, applicants, HR team members, and the VDOE.
Work Direction/Supervision:
This position does not supervise or provide work direction to others.
Decision Making:
Independent decision-making is used when concerns or questions arise that can be solved using the department’s established procedures. Work direction is provided by both the Director, as well as the Licensure Administrators. The Director’s approval is recommended when the concern or question is more complex.

Work Environment:
The employee regularly works in an office environment. The noise level is typically quiet to moderate.
Knowledge/Skills/Abilities:
Considerable knowledge of office practices and procedures, and school division policies and programs
Demonstrated skill in operating personal computers, including spreadsheet, word processing, and presentation software skills
Demonstrated ability to maintain automated databases and provide routine reporting; to edit work for proper grammar, spelling, and punctuation; to interpret and apply policies and procedures; to communicate effectively, both orally and in writing; and to exercise judgment and work effectively with all levels of the organization and the public
Additional Job Requirements:
High School Diploma or General Education Diploma (GED) with any combination of training and experience that would provide the required knowledge, skills, and abilities
Preferred: Administrative support work experience in Human Resources, including Teacher Licensure
