Job Description

Registrar & Administrative Assistant 

Job Summary:   The Registrar & Administrative Assistant position is responsible for database management and assisting the school administrative team and business office as needed.

Qualifications

  • A strong commitment to Catholic education.

  • Three years of experience as an elementary or middle school registrar or a position associated with the collection and data entry into a student information system is preferred.

  • Three years of experience with FACTS Management System is preferred.

  • Superior interpersonal and organizational skills.

Competencies

  • Strong sense of urgency and accuracy in carrying-out job responsibilities.

  • Ability to identify implied tasks when assisting in daily campus operations.

  • Ability to prioritize, multi-task, and organize for results.

  • Ability to identify and correct data anomalies within student information system that may identify data errors or incorrect coding.

  • Ability to maintain composure in a busy and demanding environment with multiple priorities and deadlines.

  • Strong computer skills

Duties/Job Description:

  • Assists with the registration, enrollment, withdrawal, and transfer of students and process applicable records.

  • Verify the accuracy and thorough completion of all student registration packets. 

  • Assist the Receptionist at the front desk as needed.

  • Enter all student and family information or changes into the student information system.

  • Communicate daily with campus administrators and special program coordinators to identify and correct, missing, or incorrect information in physical and electronic student data files.

  • Assists principal and counselors with campus and student scheduling.

  • Processes and manage all aspects of student attendance procedures, records, and notes.

  • Manage the collection and maintenance of student, personnel, and school information. 

  • Serve as Safe Haven Coordinator by ensuring all faculty, staff, coaches, and volunteers are current on required training.

  • Maintain updated Pick-Up lists and assist IT department in daily transportation changes.

  • Direct substitute teachers and paraprofessionals to appropriate classrooms and provides necessary information.

  • Facilitate and monitor all faculty and workroom supply ordering.

  • Place food orders for all faculty meetings, in-service days, etc.

  • Other duties as assigned by school administration.
