Job Description

SECRETARY TO COORDINATOR OF SPECIAL EDUCATION

 

QUALIFICATIONS: 

  • Possess a High School diploma; Associate's Degree Preferred
  • Experience as a Central Office or School Secretary preferred
  • Working knowledge of the Student Information System MiStar and the Student Program History
  • Working knowledge of MiStar-Q Program Forms
  • Computer programs: Excel, Microsoft Office, PowerPoint, Google Suite, Google Calendar
  • Ability to problem solve
  • Possess strong communication skills
  • Ability to operate standard office machines
  • Ability to work independently with minimal supervision
  • Ability to exercise initiative, independent judgment, and discretion in performing duties
  • Ability to deal courteously and tactfully with district personnel and the public
  • Knows the importance of and practices confidentiality

 

PERFORMANCE RESPONSIBILITIES: 

  • Coordinate for records requests for all new students who have past or active special education records with individual education plans
  • Maintain accurate records for all previous and current special education students
  • Coordinate file retention based on record retention guidelines
  • Maintain confidentiality for all records
  • Communicate with parents, staff, and other school personnel regarding students within the special education department
  • Maintain program coordination in MiStar-Q for all special education students who reside within the district
  • Enter certification for special education staff in MiStar
  • Collaborate with the MiStar technical team on electronic form issues when they arise
  • Work efficiently with the input of data into the student program forms for accuracy 
  • Maintain accurate caseloads for all providers, ensuring students and teachers are assigned to appropriate personnel, with allocated services 
  • Validate, process, and distribute records for all special education students to Medicaid and Social Security
  • Communicate with the Coordinator of Special Education regarding student, staff, and building needs
  • Enter all pupil accounting data for MiStar-Worksheet B's
  • Process and enter all IEP information, as well as distribute caseloads to all special education teachers and related service providers
  • Create, process, and review all purchase orders for materials needed for the special education department
  • Process Medicaid Billing for Transportation when required, as well as Random Moment Time Study completion and compliance
  • Coordinate IEP translation and ensure documents are mailed to families in a timely manner
  • Process data and maintain accurate records for students who receive services in Center Programs
  • Enter and monitor the Medicaid Service Tracker for service providers
  • Perform all other duties as assigned by the Coordinator of Special Education
  • Enter special education staff endorsements & credentials into Mistar
  • Other duties as assigned by the Coordinator of Special Education

REPORTS TO: Coordinator of Special Education

WORK SCHEDULE: 7:30 A.M. - 4:00 P.M., 40-Hour work week, 52-Week work year

EVALUATION: Annual 

SALARY: Pursuant to the AFSCME Secretary Contract

EFFECTIVE DATE: Immediate
