We are seeking an enthusiast and experienced Business Services Specialist (m/f/d) to join our dynamic Global Business Services team. This role offers an excellent opportunity for a proactive and solution-oriented professional who will actively contribute to employee satisfaction in a variety of services across the region.
The Business Services Specialist is responsible for coordinating and delivering support services across fleet management, employee travel, facilities operations, tender processes, and other internal services. This role is the point of contact and ensures operational efficiency, compliance, and a high level of employee satisfaction through proactive service delivery and vendor coordination for the assigned Region.
Responsibilities
The role of the Business Services Specialist involves a diverse range of tasks and responsibilities, supporting multiple areas of business operations to ensure smooth and efficient service delivery.
Fleet Management:
- Oversee company vehicle assignments, maintenance, and compliance
- Maintain fleet records including registration, insurance, and service logs
- Coordinate with vendors for repairs, leasing, and telematics solutions
Travel Coordination:
- Manage domestic and international travel bookings in line with company policy
- Support employees with travel-related issues and emergency logistics
- Track travel expenses and ensure policy compliance
Facilities Operations:
- Coordinate office maintenance, space planning, and equipment provisioning
- Manage vendor relationships for cleaning, security, and utilities
- Respond to employee facility-related requests and ensure timely resolution
Tender & Procurement Support:
- Assist in preparing and issuing RFPs/RFQs for services and supplies
- Coordinate with procurement and legal teams to ensure compliance
- Track tender timelines, submissions, and vendor communication
Other Services:
- Support onboarding/offboarding logistics (e.g., workspace setup, access cards)
- Maintain inventory of office supplies and manage replenishment
- Assist in organizing employee events and wellness initiatives
Perform other duties as required.
Qualifications
- Bachelor Degree or equivalent in Accounting, Finance, or Business Administration
- 2-3 years of recent related work experience in administrative and/or operational support roles
- Experience with fleet tracking and travel booking platforms
- Prior SAP work experience
- Strong understanding of procurement processes
- Strong knowledge and expertise within office and facilities dynamics
- Familiarity with tendering processes and procurement systems
- Ability to manage multiple vendors and service contracts
- Knowledge of workplace safety and compliance standards
- Proficiency in Microsoft Office and relevant management systems (e.g., fleet, travel, procurement)
- Strong organizational and multi-tasking skills
- Strong analytical and problem-solving capabilities
- Attention to detail and high degree of accuracy
- Flexibility and ability to manage multiple responsibilities across different business areas
- Excellent written and verbal communication skills
- Demonstrated ability to work on and own initiatives
