General Job Description
Maintain accurate and valid payroll data in the payroll system. Process payroll record changes as needed. Reconcile and process payroll cycles in iVisions/School ERP Pro on a bi-weekly basis. Ensure employees are compensated accurately and timely. Generate reports for analysis and reconciliation. Maintain confidentiality of and safeguard all payroll data and records.
The responsibilities of the position are broad in scope and encompass a wide range of departmental activities. The work is performed in accordance with federal, state and local laws and regulations and school district policies. This position will work with school principals, bookkeepers, and various departments on a routine basis, and provide oversight into payroll transactions being made.

Essential Duties and Responsibilities � Essential duties may include, but are not limited to the following:

  • Process new hire assignment information in the payroll system
  • Process Educational Retirement deductions for all contract employees
  • Process personnel payroll changes, including addenda
  • Upload non-contract payroll data, reconcile, and process bi-weekly payroll cycles
  • Submit processed payroll cycles to the Fiscal Services Director for review and final posting
  • Process employee payout due to Leave of Absence, FMLA, Resignation or Retirement
  • Maintain statistical data of New Hires, LOA, FMLA, Resignation, Retirement and Foreign Teachers
  • Maintain all payroll reports for each pay period
  • Reconcile NMERB monthly billing
  • Assist in year-end accounting and payroll rollover process
  • Process Direct Deposit Voids and Salary Adjustments
  • Process manual docks as submitted by the Personnel Department
  • Create control codes for new positions
  • Prepare billing adjustments for journal entries
  • Create manual payroll invoices
  • Process payroll deduction refunds through Employee Deductions & Benefits module in iVisions/School ERP Pro
  • Process employee garnishments as needed
  • Maintain W-4 forms and enter data in the payroll system for federal and NM State tax deductions
  • Process payroll deduction checks, including MCFUSE and Navajo Townsite as needed
  • Reconcile Employee Retiree Health Care Authority billing monthly and send payment
  • Participate in annual audit preparation
  • Assist with W-2 Processing
  • All other duties as assigned

Qualifications

  • Three or more years preferred experience in Payroll or Accounting, Finance, Business Administration or closely related field
  • Ability to work with all levels of employees at various school sites and departments
  • Capacity to learn new software and procedures as needed
  • Working knowledge of Microsoft Office Applications including, but not limited to, Excel, Word, Outlook, Teams and SharePoint

Physical Requirements: Ability to perform the job and access the environment for which you are hired. The following may be required: Sitting, standing, lifting, moving about the room or school, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.

Equipment/Technology Handled: Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology. 

Work Environment: Must be able to work within various degrees of noise, temperature, and air quality. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignment without direct supervision. After-hour work may be required. 

Terms of Employment: Salary and work calendar established yearly by the district.
