Service Stream’s Telecommunications division is currently seeking an Administrative Coordinator to join our growing company. This role supports project administration within the Field Module project, ensuring process adherence, effective document communication, and completion of all service delivery activities.
Nature of position: 6 month temporary
Location: Collins Street, VIC
Reporting Line: National Team Leader – CP&CI
Key Responsibilities
The Administrative Coordinator plays a key role in the project administration function:
- Receive and dispatch work orders, monitoring field completion deadlines.
- Ensure adherence to processes, with timely communication and effective distribution of relevant documents and information to support service delivery.
- Ensure internal and external stakeholders are provided with appropriate materials and data to support completion and invoicing/payment activities.
- Prioritise and process activities in line with project delivery priorities.
- Work collaboratively and effectively within a shared mailbox environment.
- Liaise with field operatives to ensure timely service delivery, providing client updates via relevant databases and/or emails as required.
- Liaise with Field Supervisors to resolve subcontractor and client queries.
- Receive and review survey submissions from subcontractors, ensuring compliance with artefact, design, and claim requirements.
- Receive and review completion submissions from subcontractors, ensuring compliance with service delivery closure requirements.
- Undertake general administrative and support tasks as required.
About You
Our ideal candidate will have:
- Proven experience in scheduling or coordination roles, preferably within the telecommunications sector (2+ years).
- Experience with database and job scheduling systems (e.g. ETA/OFSC, SNOW or similar).
- Proficiency in the Microsoft Office suite.
- Strong attention to detail.
- Well-developed verbal and written communication skills, with the ability to coordinate effectively across teams and stakeholders.
- Demonstrated ability to manage competing priorities and optimise schedules in a fast-paced environment.
