Job Description
- Provide secretarial/receptionist coverage in an efficient, timely, and professional manner. Multitask in a busy office environment. Adhere to all standards of confidentiality regarding patient rights.
- Schedule patient appointments in person or by telephone.
- Prepare reports and correspondence; produce schedules and charges from automated systems.
- Locate, pull and prepare charts for the following day's schedules.
- Maintain clinician daily appointment schedule.
- Assist in location of missing charts and compile new charts. Open and distribute mail.
- Maintain patient records including the retrieval of patient charts to file correspondence, reports, test results, etc. Pull charts for telephone messages as needed.
- Greet patients, verify insurance and collect co-payments. Follow policy and procedure regarding reporting any non-payment and/or insurance changes. Obtain all required consents. Secure copies of valid insurance cards.
- Answer telephone in a timely manner, direct calls to appropriate persons, and take accurate messages.
- Schedule appointments as requested with other providers, agencies, etc. Prepare associated forms such as requisitions or referral forms with review of any prep required as necessary.
- Copy and/or provide medical records information to outside providers under established guidelines as needed. Distribute charts to clinician, nurse, or physician for release as needed.
- Ensure accurate maintenance of administrative records and work/communicate cooperatively with co-workers, patients, visitors, and personnel both inside and outside the practice.
- Demonstrate the ability to adjust to unexpected changes to assure that all responsibilities/duties are met during absences or increased patient volumes.
- Consistently provides service excellence to all patients, family members, visitors, volunteers, and co-workers in a manner that reflects Cape Cod Human Services’ commitment to CARES: compassion, accountability, respect, excellence and service.
- Provide back up for the switchboard, secretaries and/or records specialist as needed.
- Perform other work-related duties as requested or assigned by manager.
- Two years secretarial experience preferred, preferably in a clinical/medical office setting and/or Associates level education.
- Ability to read, write and communicate in English.
- Must be computer proficient in Microsoft Office and/or other applicable software programs.
- Experience in Medical Office Software preferred.
PHYSICAL DEMANDS:
- Physical and mental health appropriate to meet the demands of this position.
- Frequent standing, walking, use of stairs, sitting, stooping, pulling, lifting overhead, reaching depending on job assignment.
- Lifts supplies and equipment (15-25 lbs.)
- Considerable telephone communications and documentation.
WORKING CONDITIONS:
- May be exposed to electrical/mechanical equipment.
- May interact with patients who have a range of behavioral, emotional, or physical challenges.
- Ability to work in a fast-paced environment and manage multiple tasks at any time.
