Front Desk Manager – Office of International Education (OIE), Enrollment Management
Job Description
The Office of International Education is seeking an efficient and highly-detail oriented Front Desk Manager to support key aspects of dynamic and evolving office operations including reception desk operations. We are seeking candidates with strong organizational, interpersonal, and communication skills and has the ability to assume responsibility and work collaboratively.
You will be responsible for ensuring the smooth operation of a busy reception area, creating a pleasant, welcoming, visitor experience, interfacing with and providing basic immigration information to international students and scholars and initial instructions to study abroad students, and for providing general administrative support to staff in the Office of International Education (OIE). We are seeking qualified candidates who can contribute, through their experiences to the diversity and excellence of the academic community and our engagement with a multicultural student body.
Core responsibilities include:
- Ensure front desk coverage during office hours; receive and welcome walk-in and phone customers; ensure orderliness of front desk area, including stocking handouts/forms; assist with appointment scheduling troubleshooting; answer basic immigration questions in-person, over phone and over email as well as answering questions on non-immigration, study abroad and procedural matters.
- Receive immigration document requests and conduct database checks and distribute both paper and electronic requests/cases to appropriate staff, prepare and/or sign federally required letters.
- Serve as a Designated School Official and issue or sign visa documents.
- Assist Advisors or Document Managers with administrative projects, such as immigration reporting, as needed.
- Receive all incoming mail including immigration documents from Homeland Security & outreach to student/scholar for secure distribution and assist with outbound mailing of immigration documents.
- Assist with OIE communications, including OIE email maintenance and response.
- Ensure proper operation of office equipment is ordered and maintained.

Qualifications
- High School or GED; Associates or bachelor’s degree is highly preferred.
- A minimum of 5-8 years of administrative support experience and experience with various computer applications, including database experience.
- Experience working in a Higher Education setting is preferred.
- A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

- Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over the sponsorship of an employment visa for this opportunity. Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.
