Job Description
Position Summary:
This role involves assisting the Project Coordinator & the Project Managers with the coordination of commercial audio-visual projects. This includes the preparation of documentation and interacting with site personnel suppliers, clients, builders, consultants and other contractors.
Roles and Responsibilities:
General assistance with the co-ordination of project work
Preparing compliance and site induction documentation
Assistance with the coordination of labour resourcing including travel requirements
Assist with the coordinating the manufacture of custom-made items
Travel booking for all staff.
Minute take, update & issue Project Meeting minutes.
Use of the project administration Aconex site for project document coordination
Job sharing with Project Coordinator
JSA / Safety Pack as required for new jobs.
Researching data & writing new JSAs as required (e.g.: MDF, Hot Works).
Issuing of Certificates of Currency – keep up to date.
Assisting with QA Audit (monthly) and maintaining QA systems.
Preparation of Hand-over sheets for PMs as required.
Project status advice forms as requested by PMs.
Project Roadmap & SharePoint tasks to be adhered to.
Site & Project folders as needed when new jobs start.
Project procedures – reviewing existing, writing new.
Printing label requests and organising delivery; updating Cable Label Requests.xls.
Administration of project drawings including Architectural etc. to be updated to ensure all project staff work from latest drawing revisions. This includes the issuing of RE Document Transmittals including latest AV shop drawings & sample data.
Site Tasks:
Tools register audit & research
Researching procedures & tasks to maximise efficiency.
Liaise with suppliers that perform our custom work.
Foster and promote the company, product, and brand in the market
Promote and live the Company Mission, Vision and Values
Comply with Company policies and procedures, including the completion of documents and records
Promote and work with Standard Operating Procedures to ensure uniform quality standards in all areas of the business
Other duties as required
Qualifications & Education Requirements:
Required:
Diversified online modules regarding WHSEQ and Environment
Degree qualified in ICT/AV, Engineering and/or Business discipline
Desirable:
Experience with ERP systems such as Pronto
Project Management certifications such as PMP or Certificate/Diploma in Project Management
Skills & Experience Requirements:
3+ years’ experience in Project Administration/Assistant role
Strong interpersonal and communication skills
Strong attention to detail
Sound administrative skills
Task and results focused

Positive approach to your work
Sound understanding of the MS Office suite of programs
Experience with OH&S documentation
Experience with documentation control using Aconex or equivalent preferred but not essential
Knowledge of MS Project beneficial but not essential
Knowledge or interest of Audio Visual and/or the building and construction industry beneficial but not essential
