Job Title: Surgical Scheduler
Reports To: Office Manager
Location(s): The Vascular Experts - Darien
Schedule: Full Time and Monday-Friday
Position Summary:
The incumbent is responsible for maintaining and updating Physicians’ surgical schedules and informing patients of surgical procedures. Serves as a vital point of contact and liaison between patients, surgeons, surgical techs and others to coordinate all pre and post -operative actions and events.
Principal Duties & Responsibilities:
- Schedule surgical procedures as directed by Physicians, ensure that all procedures are entered into physician’s schedule in the EMR. Make changes and updates as required.
- Ensure that physicians, and other stakeholders, are promptly notified informed of any changes, problems or cancellations related to any surgery.
- Verify patient insurance eligibility and obtain both insurance and PCP referrals.
- Schedule all required pre-operative clearance appointments with other physicians in a timely manner.
- Communicate with patients either in person or by phone, providing all pre-operative information and instructions in a clear and timely manner.
- Prepare surgical paperwork promptly, and ensure paperwork is submitted to appropriate individuals and institutions as required.
- Obtain all medical clearance documentation and submit to facility ensuring that all time requirements are met.
- When surgery has been completed, obtain operative report from facility and scan into patient chart.
- Send post-op paperwork to Billing and Coding department.
- Scheduling post-op follow up appointments.
- Manage and scan patient paperwork into the appropriate sections within the patient chart along with timely communication using the EMR and email.
- Perform other related duties as assigned by Physician or other authorized executive or manager of TVE.
Qualifications:
Incumbent must possess a minimum of high school diploma and two (2) year prior experience working as surgical coordinator / scheduler in a hospital or ambulatory surgery center. A strong working knowledge of medical terminology is required. Must demonstrate superior customer service, interpersonal and communication skills to tactfully interact with physicians, staff, visitors, patients and their family members. Must be highly organized with exceptional focus on details to ensure each surgery is accurately scheduled. Must be able to oversee a high volume of cases and schedules for multiple providers, and communicate with all team members in a clear and timely manner.

Surgical scheduler must consistently demonstrate superior customer service, interpersonal and communication skills to interact effectively with physicians, staff, visitors, patients and family members. Must be highly organized with exceptional attention to details. Incumbent must be able to travel to multiple office locations if requested.
