About the Role:
The Coordinator, Marketing & Executive Support provides high-level administrative support to the Chief Marketing Officer and marketing leadership team while also supporting project-based coordination across the Marketing function.
The ideal candidate is highly organized, detail-oriented, professional, and comfortable operating in a fast-paced, creative environment. This person will serve as a key point of contact for internal and external partners, help manage daily priorities for the CMO, and support marketing initiatives through coordination, tracking, communication, and follow-through.
Key Responsibilities
Executive Administrative Support
Manage and maintain the CMO’s calendar, including prioritizing internal and external meeting requests, resolving scheduling conflicts, and communicating updates to stakeholders.
Serve as a point of contact between the CMO, internal teams, external partners, clients, vendors, and executives, using discretion, professionalism, and strong judgment.
Handle and screen incoming calls, manage correspondence, draft and proofread emails, memos, letters, and other communications.
Arrange domestic and international travel, transportation, accommodations, and detailed itineraries in partnership with corporate travel.
Coordinate appointments, meetings, events, and related materials, ensuring participants have the necessary information and logistics.
Prepare, organize, and process executive expense reports; review and evaluate expense reports submitted for CMO approval.
Support invoice administration, departmental expenses, and budget tracking processes.
Maintain confidential information and ensure discretion in handling sensitive office, executive, client, and business matters.
Organize and maintain digital and hard copy filing systems, contact lists, documents, and executive materials.
Provide general administrative and operational support, including phone coverage for other executives as needed, meeting preparation, technology support, and occasional errands.
Marketing Coordination & Project Support
Support marketing team projects by coordinating project meetings, tracking next steps, preparing meeting notes, maintaining timelines, and following up on action items.
Prepare and maintain project documentation, correspondence logs, shared files, version-control materials, and project trackers.
Assist with the preparation of presentations, spreadsheets, reports, agendas, and other materials for internal and external use.
Coordinate logistics for department meetings, special events, campaign-related meetings, and cross-functional initiatives.
Partner with team members to support creative campaigns, brand marketing initiatives, film-related activities, social media efforts, and other marketing projects as assigned.
Help create and improve processes that support organization, communication, tracking, and timely completion of deliverables.
Qualifications
2–5 years of administrative, executive assistant, coordinator, or related experience, preferably supporting a senior leader or working in a fast-paced corporate, creative, entertainment, or marketing environment.
College diploma required; Associate’s or Bachelor’s degree preferred.
Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint; Keynote experience preferred.
Strong calendar management, scheduling, travel coordination, expense reporting, and administrative support skills.
Project coordination skills, including the ability to track timelines, manage follow-ups, organize documents, and support multiple workstreams.
Excellent verbal, written, and interpersonal communication skills.
Strong attention to detail, organizational skills, and ability to manage competing priorities.
Ability to work independently with limited supervision, anticipate needs, and exercise sound judgment.
Proven ability to handle confidential and sensitive information with tact and discretion.
Professional, adaptable, collaborative, and service-oriented approach.
Entertainment, media, film, brand marketing, creative campaign, or social media experience is an asset.

Hiring Range :
$20.18 - $28.83 (per hour) Placement within this range depends on a candidate’s experience, skills, internal equity, and regional market factors.
