The Transfer Agency Investor Onboarding Team Leader drives the direction of team members within the IOB Team ensuring quality and overall high client satisfaction. The role will involve working closely with, and providing support to, the manager to ensure the team operates efficiently and that deadlines are met.
The main functions of this position including managing deadlines and volumes of work, escalating issues to management in a timely manner, sharing updates in procedures with the team and working to create a strong, united team.
The TA Investor Onboarding Team Leader is responsible for guiding/supporting team members around AML/KYC due diligence related to client onboarding and managing the quality and productivity of the work of the team.
Key Responsibilities
- Ensure the teams perform accurate and timely due diligence reviews on investor documents pertaining to account opening on a wide range of investor types in accordance with BBH Policies and procedures and in line with applicable regulations.
- Be the escalation point of contact on any escalations relating to possible sanctions, AML negative news and politically exposed persons.
- Raise any alerts appropriately in accordance with internal policies and procedures
- Escalate to management if there are potential AML issues or delays in the account opening process
- Deputise for the Manager of the team when required
- Review the procedures and processes approved by the AML Product team and application of the group AML standards to new investor files prior to onboarding and communicate to the team any changes or new controls
- Maintain oversight of the review and verification of the most complex account opening assessments performed by the senior representatives and supervisors
- Review and approval of global AML/KYC requirements for varying investor types
- Follow up and oversee the remediation of accounts that are non-compliant to in adherence with current local regulations
- Review and discuss with the IOB Manager, Compliance, Senior Management any issues including AML/CTF requiring escalation
- Ensure that policies and procedures are adhered to by the team and have this evidenced.
- Responsible for the cross-training of staff on all aspects of Transfer Agency functions to develop depth and breadth of knowledge
- Follow up on AML/CTF due diligence requirements on a range of institutional client types with different legal structures, in all jurisdictions, to support businesses across various product groups including Real Estate Funds and Equities
- Review publicly available sources for information pertaining to client due diligence
- Responsible for instituting and reporting on measures to determine the team's performance in meeting these standards
- Provide guidance and support to team members reporting to you in terms of increasing AML knowledge, personal development and career progression
- Review of all new procedures/processes issued to ensure that these are applied consistently according to BBH internal policies and procedures.
- Ensure the smooth running of the IOB team and that highest AML standards are applied to new investor account opening files.
- Establish solid contacts with team leaders on other IOB/IOM teams both in Luxembourg and other BBH offices as well as inter departmental
- Maintain the oversight of the communication to clients of new account statuses and provide information for our clients on the progress of onboarding their investors.
- Review the monthly management reports for clients to ensure completeness and accuracy
- Maintain oversight of the preparation of KPI’s and MI’s in your area for inclusion to the wider department MI.
- Lead the team to build and maintain excellent relationships with clients and their investors
- Lead the team to communicate professionally and constructively to address and resolve issues
- Liaise with other departments on client and investor queries regarding AML/CTF
- Take the lead in queries from the investor /fund regarding specific account opening requests
- Oversee the Preparation of Investor due diligence files for internal and external audits
- Attend due diligence visits by clients when requested using the appropriate level of knowledge and expertise
- Escalate to managers when issues arise as a result of Audit or Due Diligence
- Liaise with Compliance and AML Product in responses to Audit, due diligence and conversions queries
- Ensure the supervisors manage the ad-hoc task within the team such as reconciliation of accounts, KPI’s
- Work with management to address the training needs and development of team members and establish successful level of synergy within the team.
- Manage controls efficiently to alleviate any potential risk areas and work with management to continuously review functional tasks to achieve maximum efficiency
- Work with Risk and Control functions to ensure risk is mitigated or taken out of the business completely
- Identify possible risk area in the business, escalate appropriately and identify ways in which to address
- Minimize overtime and implement additional efficiencies as automation projects are completed (IOBR)
- Lead the team to carry out the oversight of the processing of IOB/IOM activities carried out by internal BBH partners in line with applicable laws and regulations
- Review and sample outputs of IOB/IOM activities carried out by internal BBH partners in line with internal BBH policy and procedures
- Carry out regular service review meetings to ensure all activities performed by internal partners are being carried out in accordance with internal BBH policies and procedures, including quality, productivity and alignment to AML/CFT global policies.
- Report any issues or errors to managers in line with internal BBH policies
- Retain and improve knowledge of changing industry initiatives (attend presentations, work sessions & personal effort) and educate clients continually through presentations
- Ensure your team attends all AML and other training (internal/external) as prescribed by BBH internal rules
- Ensure you and your team attends other training linked to this area of work carried out by business partners
- Possess an in-depth understanding of AML/KYC due diligence requirements on a range of all client types with different legal structures, in all jurisdictions, to support businesses across various product groups and regions.
Salary Range
$80,000 - $120,000 base salary + annual target bonus
