Job Description:
Intern – System Operations & Automation (Zoho Desk / AI Integration)
1. Documentation (AI-Assisted Knowledge Development)
Leverage modern AI tools (e.g., Claude, Microsoft Copilot, Cursor) to build high-quality, scalable documentation:
Enhance and maintain the Ticketing User Guide, including detailed walkthroughs for various layouts used by internal teams and external users.
Develop and improve training materials for the Employee Self-Service (ESS) portal, ensuring clarity and usability.
Maintain and continuously improve the Admin Wiki, ensuring all content is accurate, standardized, and easy to navigate.
Document new processes, workflow changes, and operational best practices to support knowledge transfer across teams.
Support ISO audit preparation activities, including:
Ensuring documentation compliance and completeness
Organizing process documentation and evidence artifacts
Aligning system workflows with audit requirements and standards
Manage documentation versioning, changelogs, and release notes to track updates over time.
Explore AI-assisted documentation creation to optimize speed, consistency, and content quality.
2. Operations Support (Hands-On System Administration)
Gain real-world experience supporting enterprise systems and daily operations:
Monitor and manage incoming inquiries via Zoho Desk Admin mailbox, ensuring proper triage and follow-up with relevant teams.
Convert requests into structured Zoho Desk Tasks, categorizing based on urgency, ownership, and business impact.
Support the Inventory Management System, including asset tracking, validation, and reporting.
Assist Applications Engineers with system-related requests, such as:
Account updates and access configurations
Report generation and data validation
Minor system enhancements and updates
Provide first-level troubleshooting for internal users (form issues, access concerns, workflow clarifications).
Monitor queue health and SLA performance, identifying risks and escalating issues proactively.
3. Development & Automation (Build, Improve, Innovate)
Work directly on automation, AI integration, and modern development practices:
Contribute to Zoho Desk and Zoho Flow customizations, including:
Workflow automation rules
Assignment logic and ticket routing
Notification and escalation triggers
Assist in writing and testing Deluge scripts and custom functions to automate repetitive tasks.
Participate in AI-driven initiatives, such as:
Enhancing ticket intake using AI-powered triage (e.g., LAIA / Copilot flows)
Automating field population and classification using intelligent agents
Support integration projects between Zoho Desk and external systems (APIs, webhooks, connectors).
Perform User Acceptance Testing (UAT) for new features and enhancements; document bugs, edge cases, and improvement opportunities.
Build small internal tools/utilities to improve operational efficiency (e.g., scripts, dashboards, automation helpers).
Learn and contribute to CI/CD practices, including safe deployment of automation and extensions.
Participate in the transition of Zoho Desk custom functions to GitHub-based version control, including:
Managing code repositories for workflows and scripts
Tracking changes through commits and version history
Supporting structured release management and rollback strategies
Gain exposure to modern DevOps practices, bridging system administration and software development.
Work with event-driven workflows and automation pipelines, understanding how enterprise systems interact in production environments.
4. Additional Responsibilities (Collaboration & Growth)
Participate in team meetings, design discussions, and brainstorming sessions.
Track assigned tasks using project tools and ensure timely and transparent updates.
Proactively identify opportunities to improve workflows, documentation, and user experience.
Collaborate with cross-functional teams (IT, Applications, Web, etc.) on system enhancements.
Maintain strict confidentiality and data security standards when handling internal and customer data.
