About the Opportunity
Our client is a fast-growing wealth management firm overseeing approximately $300M in assets under management and is looking to add a Director of First Impressions to their team. Over the past several years, the firm has continued to grow steadily, leading to the need to expand the team and add additional support within the office. This position is being created as the current individual in the role transitions into taking on increased responsibilities within the firm’s marketing and events department after proving herself as a valuable member of the organization.

What You’ll Do
- Answer incoming calls using a live-answer approach
- Manage multiple advisor calendars and coordinate client review meetings
- Handle high-volume calls and emails throughout the day
- Welcome and assist clients visiting the office
- Triage client communication to advisors, operations, and service team members
- Complete administrative and database projects during downtime
- Support seminar events and client workshops
- Assist with outreach calling and event preparation
- Reset and organize conference rooms following meetings
- Serve as the first point of contact for all client interactions

Qualifications
- Prior office or administrative experience required
- Medical or legal office experience preferred
- Strong calendar management and scheduling experience
- Excellent communication and client service skills
- Ability to multitask and prioritize effectively
- Strong organizational and project management abilities
- Comfortable learning and using CRM technology, Redtail

Schedule & Work Environment
- Full-time, in-office position located in Indian Wells, CA
- Approximately four evening seminar events per month
- Team of six employees in a collaborative office environment
- Fast-paced office with consistent client interaction throughout the day
