PURPOSE
This position is responsible for providing electronic bookkeeping, record keeping, and compliance for departmental records, including employment. Hires, supervises and trains student office assistants. Performs administrative duties for professional staff members, including assistance with electronic payroll. Serves as a Departmental I-9 processor, HR and Payroll Contact, a timekeeper. Enters approvals into Event Management Scheduling for all Recreation facilities. Other duties as assigned. Assists in student development and events planning.
DESCRIPTION
Functional Area 1: Administrative Support
Percent Effort: 50%
Maintain records, employment files, and departmental files.
Process I-9 and initial onboarding for all Departmental student employees
Oversee work study eligibility for student employees
Process alterations required in student workers profiles in Workday
Perform reception, secretarial, and support duties for the department, including support for 11 FTE’s
Enter scheduling information into Event Management System scheduling, create paper copies for posting weekly, and assist with updating web site.
Functional Area 2: Staff Supervision & Training
Percent Effort: 30%
Hire, train, supervise, and evaluate student receptionists.
Works on development and running of New Student Employee Orientation along with other professional staff members
Process alterations required in student workers profiles in Workday
Support student development efforts.
Functional Area 3: Record Keeping & Compliance
Percent Effort: 20%
Conduct bookkeeping duties (Financial Accounting and Management Information System (FAMIS), deposits, travel, purchase orders, bi-weekly electronic payroll), and sales processing including cash handling.
Reconciles p-card expenses and travel for the Recreational Sports Department
Works closely with Payroll, Financial Aid, and HR Department
Perform other duties as assigned
Ensure compliance for employment documentation and departmental files.
Serve as a departmental I-9 processor.
QUALIFICATIONS
High school diploma/GED
Four (4) years of related experience.
Additional education may be considered as a substitution for the minimum requirement. Associate degree and Two (2) years of related experience.
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Strong verbal and written communication skills.
Strong interpersonal and organizational skills.
Ability to work with sensitive information and maintain confidentiality
PREFERRED QUALIFICATIONS
Experience in Higher education or similar role
SALARY: $17.50 - $19.71 Hourly (Approx. $36,400 - $40,996.80 annually)
