Job Summary

Responsible for providing administrative support through coordinating scheduling, managing patient records, handling communications, and ensuring the efficient operation of administrative tasks related to psychiatric care.

Essential Functions

-Provide comprehensive administrative support to psychiatric and behavioral health providers, including psychiatrists, psychologists, therapists, and nurses. Manage calendars, schedule patient appointments, coordinate meetings, and handle cancellations or rescheduling as needed.
-Prepare and organize documentation, forms, and correspondence for patient care and departmental needs.
-Serve as the primary point of contact for patients, families, and external providers regarding psychiatric services, appointments, and care coordination. Ensure effective communication between patients, providers, and other departments, including referrals, follow-ups, and information sharing.
-Address patient inquiries, concerns, and requests in a timely and compassionate manner.
-Maintain accurate and up-to-date patient records, including intake forms, medical histories, treatment plans, progress notes, and discharge summaries. Ensure compliance with HIPAA and other privacy regulations regarding the handling and storage of patient information.
-Ensure compliance with all relevant regulations, policies, and standards, including Joint Commission requirements, state and federal laws, and organizational policies.
-Collaborate with clinical staff to ensure timely and efficient patient flow, minimize wait times, and support overall clinic operations. Help manage crisis situations by communicating effectively with clinical staff, patients, and families.


 

Qualifications

Education High School Diploma or Equivalent required and Associate's Degree Business Administration preferred or Associate's Degree Related Field of Study preferred Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience Experience in an administrative role, preferably in a psychiatric, behavioral health, or healthcare setting 2-3 years required Knowledge, Skills and Abilities - Proficient in using office productivity software such as word processing, spreadsheet, and presentation tools. - Demonstrated professionalism, integrity, and the ability to handle confidential information with discretion. - Ability to adapt to changing priorities and work effectively in a dynamic environment. - Strong problem-solving skills to resolve issues and make sound decisions independently. - Strong written and verbal communication skills to effectively interact with individuals at all levels of the organization. - Excellent organizational abilities to manage multiple tasks, prioritize work, and meet deadlines.
