Job Description
Contract Routing & Coordination
- Review legal, business, and other relevant documents that support contracting agreements.
- Communicate with stakeholders to request missing or unclear information and required documentation.
- Coordinate the contract review process to ensure smooth and timely routing, including tracking progress, managing time‑sensitive or expedited requests, and obtaining contract signatures.
- Identify opportunities to streamline workflows, reduce manual effort, and enhance data accuracy related to contracts and the routing process.
- Work closely with Supply Chain, Finance, Legal, and other internal teams to gather required information for contracting activities.
Sourcing Team Support & Contract Lifecycle Management
- Partner with Sourcing Leads to ensure contracts are monitored, managed, and updated on time, including renewals, amendments, terminations, and extensions.
- Identify the need for additional contracts by analyzing purchasing activity (e.g., uncovering items being purchased without an active contract or where no pricing structure exists).
- Support Sourcing functions by conducting research, gathering data, coordinating vendor communication, and preparing analysis that informs sourcing decisions.
- Assist Sourcing Leads with prioritizing contract workload, managing timelines, and maintaining workflow consistency across the team.
- Generate regular Sourcing reports on contract status, upcoming expirations and renewals, cycle times, and other key metrics.
- Support development and maintenance of Sourcing dashboards, trackers, or databases used for contract management,
- Support initial steps of the contracting process, including data collection, vendor engagement, and documentation preparation.
Coordinating Value Analysis Activities
- Manage the intake, tracking, and prioritization of requests.
- Serve as the primary point of contact for Value Analysis requests, ensuring clear communication with clinical and operational requesters regarding status, requirements, and next steps.
- Schedule and support Value Analysis committee meetings, including coordination with physicians, nursing leaders, Supply Chain, Finance, and other stakeholders as appropriate.
- Prepare and distribute comprehensive meeting materials.
- Partner closely with Supply Chain and Finance teams to align clinical needs with financial impact, contract considerations, and standardization initiatives.
- Maintain documentation and records of Value Analysis activities and meetings, and support with meeting follow up actions.
Special Projects & Department Support
- Perform special projects, developmental assignments, and other tasks as delegated to support Sourcing or Supply Chain initiatives.
- Complete other duties as required for successful operation of the department.
Education: Associate degree. Bachelor’s degree preferred. Will consider equivalent experience in lieu of educational requirements.
Experience: Minimum 2 years contract coordination experience, preferably in the medical field.
Other skills/abilities: Able to navigate multiple IT systems, manage competing priorities, and deal with a variety of stakeholders and people. Good recordkeeping and organizational skills are required for success.
