Supervisor Laboratory Inventory
Position Summary
Responsible for the oversight, monitoring, and optimization of laboratory inventory, including reagents, consumables, test kits, and associated supplies, to ensure uninterrupted operations. Partners closely with laboratory leadership, technical teams, procurement, and external vendors to maintain appropriate stock levels, uphold regulatory compliance, manage costs effectively, and ensure timely availability of materials for both routine and specialized testing.
Essential Job Duties
- Provides oversight and work direction of laboratory staff, including but not limited to Laboratory Attendants, to ensure effective inventory management and fulfillment of supply needs.
- Forecasts laboratory reagent and supply requirements by analyzing test volumes, historical usage trends, and anticipated workflow demands.
- Maintains optimal inventory par levels for laboratory reagents, consumables, controls, calibrators, and general lab supplies to prevent shortages, overstocking, or expirations.
- Coordinates ordering, receiving, stocking, and distribution of laboratory inventory in accordance with established policies, manufacturer requirements, and regulatory standards along with the assistance of laboratory staff.
- Monitors expiration dates, lot numbers, storage conditions, and usage documentation to ensure compliance with CLIA, CAP, OSHA, and other applicable laboratory regulations.
- Collaborates with laboratory supervisors and technical staff to resolve inventory issues, including back orders, substitutions, and emergency supply needs.
- Tracks reagent and supply usage by test or section, providing data to support cost containment, budget planning, and utilization review initiatives.
- Coordinates reagent validations, lot-to-lot comparisons, and new product introductions in collaboration with laboratory leadership and quality teams.
- Oversee processes for product returns, recalls, and disposals, including hazardous materials, ensuring adherence to safety and environmental guidelines.
- Maintains accurate inventory records, databases, policies, and procedures related to laboratory supply management.
- Assists in developing and improving inventory management workflows, standard operating procedures, and continuous improvement initiatives.
- Performs all duties inherent to managerial role. Participates in hiring, training, evaluation and termination of assigned staff according to hospital policies and procedures.
- Performs other special projects and duties as assigned.
Mon-Fri 8a-4p with emergency coverage as needed
Required Qualifications
- Bachelor’s Degree or equivalent work experience in inventory management
- 3+ years of experience in inventory management, laboratory operations, supply chain, or a healthcare environment
- Established use of procurement and inventory management software e.g. Lawson
- Established working knowledge of MS Office 365: PowerPoint, Excel
Preferred Qualifications
- Master’s Degree
- Inventory management or laboratory-related certifications
- ASCP Certification or NYS Licensure for Clinical Laboratory Medicine, Clinical Laboratory Technologist
- Knowledge of data analytics tools e.g. Tableau, Power BI
- Knowledge of electronic medical record (EMR) and other laboratory information systems (e.g. Epic, Epic Beaker)
