We are currently seeking a Project Specialist to join our PMO team and support the coordination and delivery of new programs and projects across the organization. This role will work closely with Project Managers, PMO Leads, and key stakeholders across multiple functional areas. The ideal candidate is energetic, proactive, highly collaborative, and passionate about project management, with strong communication and stakeholder management skills and a genuine willingness to learn and grow in a fast-paced environment.

This role offers the opportunity to build a solid foundation in project management while gaining exposure to transformation initiatives, cross-functional collaboration, governance, and PMO best practices.

 

Key Objectives

  • Support Project Managers in the development, implementation, and maintenance of project and program initiatives aligned with organizational objectives.

  • Develop a solid understanding of project scope, objectives, timelines, deliverables, dependencies, risks, and stakeholders.

  • Help maintain effective governance and communication across identified stakeholder groups.

  • Support the PMO team in ensuring project goals are achieved in alignment with team priorities, methodologies, and ways of working.

  • Collaborate with internal team members and contribute to the continuous improvement of PMO practices, reporting, and project execution.

 

Scope of Work

  • Maintain daily contact with key stakeholders to support project delivery and coordination.

  • Take a proactive and reactive approach to identifying issues, raising risks, and supporting solutions.

  • Track project risks, issues, dependencies, and action items, ensuring timely follow-up and resolution.

  • Organize and participate in recurring meetings such as daily, weekly, and monthly project reviews, as well as ad hoc meetings as needed.

  • Prepare and facilitate project meetings to provide updates, track actions, and address issues or concerns.

  • Prepare meeting agendas, minutes, and follow-up action logs, ensuring all outcomes are clearly documented and tracked.

  • Assist in defining and maintaining project milestones, schedules, and timelines.

  • Support the preparation of project status reports, dashboards, and executive summaries.

  • Develop, update, and maintain project documentation, including project plans, status reports, communication plans, meeting notes, project overviews, and other project artifacts.

  • Monitor project progress and support tracking of deliverables to ensure alignment with deadlines and expectations.

  • Facilitate collaboration and clear communication across teams and stakeholders.

  • Support PMO leads in delivering key transformation initiatives.

  • Help identify opportunities to improve project processes, reporting, and coordination methods.

  • Work closely with the PMO Manager in delivering key initiatives and supporting operational excellence.

 

Qualifications

  • Bachelor’s degree in business management, Finance, Industrial Engineering, Computer Science, or a related field, or currently in the final stage of the degree.

  • 1+ years of experience supporting corporate projects, PMO activities, or cross-functional initiatives.

  • Strong interest in project management and a willingness to learn, grow, and take on increasing responsibility.

  • Energetic, proactive, and self-motivated, with a positive attitude and strong sense of ownership.

  • Excellent communication and interpersonal skills with the ability to engage stakeholders at different levels.

  • Strong stakeholder management skills and the ability to build positive working relationships across teams.

  • Solid organizational, planning, and time management skills with the ability to manage multiple priorities.

  • Analytical mindset with effective problem-solving and decision-making abilities.

  • Strong attention to detail and commitment to follow-through.

  • Basic understanding of project management methodologies, governance, and lifecycle stages.

  • Ability to work in a fast-paced, cross-functional, and matrixed environment.

  • Proficiency with project management and collaboration tools such as Jira, Confluence, Power BI, MS Project, Excel, or PowerPoint.

  • Finance, Human Health, Animal Health or Research & Development Division background is an advantage.
