
Parts Coordinator (39461)
Job Description
The Parts Coordinator is responsible for ensuring the timely availability, tracking, and distribution of parts and materials to support manufacturing operation/customers This role works closely with purchasing, inventory control, and production teams to maintain efficient workflow and minimize downtime due to parts shortages.
- Monitor inventory levels and maintain accurate records of parts and materials
- Perform inventory counts and process adjustments as needed
- Coordinate the ordering and replenishment of parts, including placing procurement orders with suppliers
- Process quote requests and customer purchase orders (POs) accurately and efficiently
- Gather required intake information via email or telephone from customers and internal teams
- Ensure production teams have the correct components available on time
- Track incoming shipments and verify accuracy of received goods
- Support warehouse operations including receiving, picking, packing, and shipping
- Prepare required documentation for domestic and international shipments
- Maintain and update part numbers, inventory data, and documentation in ERP systems
- Identify and resolve discrepancies such as missing, damaged, or incorrect parts
- Handle customer and internal issues including credits, reimbursements, and warranty claims
- Perform accounts receivable follow-up as needed
- Collaborate with suppliers, purchasing, and warehouse teams to manage supply chain issues
- Communicate critical shortages, delays, or order updates to customers and internal stakeholders
- Analyze inventory and usage trends to support reporting and decision-making
- High school diploma or equivalent required with 3+ years of relevant experience in manufacturing, inventory, logistics, or customer service; or an associate degree in a related field, preferred.
- Technical or mechanical understanding is a plus
- Experience using ERP or inventory management systems (SAP, Oracle, etc.) preferred
- Proficient with computers and software including Microsoft Office, Outlook, and ERP systems
- Strong attention to detail and commitment to accuracy

- Strong interpersonal and organizational skills with a focus on quality of work
- Effective time management skills in a fast-paced environment
