Position Summary:

The Enrollment Advisor is a vital member of the Admissions Department and often the first point of contact for prospective families at the Williamsburg Family of Schools. Successful Enrollment Advisors use strong communication, relationship-building, organizational, and consultative sales skills to guide families through the enrollment process, help determine program fit, support enrollment goals, and create a positive start to the school year.


Essential Duties

1) Enrollment Consultations & Family Guidance

  • Conduct personalized enrollment consultations with prospective families to understand educational goals, answer questions, and guide families through enrollment options
  • Clearly communicate Williamsburg Learning programs, curriculum pathways, and enrollment opportunities in a supportive and consultative manner
  • Build trust-based relationships with families while helping them determine program fit and make informed enrollment decisions
  • Address questions, concerns, and objections with confidence, professionalism, and empathy

2) Enrollment Pipeline Management & Performance Tracking

  • Manage prospective family pipelines through proactive follow-up, task management, and timely communication
  • Support families through application submission, registration, onboarding preparation, and next steps leading into the school year
  • Maintain consistent communication with prospective and newly enrolled families to support enrollment goals and conversion outcomes
  • Track enrollment activity, follow-up progress, conversion outcomes, and performance metrics to ensure families successfully move through the enrollment process

3) CRM Documentation & Enrollment Systems Management

  • Maintain accurate and organized records of family interactions, follow-ups, and enrollment progress within HubSpot and related systems
  • Utilize HubSpot, Asana, spreadsheets, and additional internal systems to support enrollment operations and team collaboration
  • Manage assigned tasks, consultation schedules, and enrollment tracking with strong attention to detail and organization
  • Ensure timely and accurate documentation to support reporting, forecasting, and team alignment

4) Program Knowledge & Enrollment Support

  • Maintain strong knowledge of Williamsburg Learning programs, curriculum offerings, policies, enrollment pathways, and school partnerships
  • Provide families with accurate guidance regarding enrollment options, course selection, and onboarding preparation
  • Stay informed on program updates, enrollment processes, and internal resources to ensure a consistent family experience
  • Utilize team knowledge bases and training resources to remain aligned with current procedures and expectations

5) Team Collaboration, Feedback & Continuous Improvement

  • Collaborate with team members to share family feedback, enrollment insights, and process improvement ideas
  • Contribute to team documentation, knowledge base updates, and ongoing training resources
  • Support outreach initiatives and cross-functional projects that enhance the family enrollment experience
  • Remain adaptable and solutions-oriented in a growing and evolving enrollment environment

Minimum Qualifications

  • 2+ years of experience in sales, admissions, enrollment, or customer-facing support roles
  • Strong oral and written communication skills
  • Experience managing pipelines and follow-up communication using CRM systems such as HubSpot, Google Sheets, Asana, and similar collaboration tools
  • Ability to work independently, stay organized, and manage a consultation schedule
  • Associate degree or higher


Working Conditions

  • Full-time remote position, 40 hours per week
  • Scheduled shifts are typically 9:00 AM–5:00 PM or 10:00 AM–6:00 PM based on enrollment support needs
  • Additional scheduling flexibility may occasionally be needed during peak enrollment seasons
  • Participation in virtual meetings, trainings, and collaborative team sessions

Salary Range

  • $$58,656 Annual Salary
