The Office of Rural Health Programs has an outstanding opportunity for a Temporary Future Doctors Program Operations Specialist to join their team.
About this Opportunity
Reporting to the HCOP Associate Director, the temporary Future Doctors Program Operations Specialist provides operational leadership and student-centered program support for the Future Doctors (FD) program at the University of Washington. FD supports underrepresented students who are interested in becoming physicians through workshops, mentorship, pipeline programming, and guidance designed to strengthen pathways into the healthcare workforce. In this role, you will help create a welcoming, organized, and high-impact experience for students, mentors, faculty, community partners, and program collaborators across urban and rural communities. This position is expected to last about 10 months.
Key Responsibilities
Operations Management (65%)
- Coordinate day-to-day FD program operations, including communications, logistics, timelines, databases, meeting support, marketing materials, and follow-up with students, mentors, board members, and team collaborators.
- Maintain and strengthen the program’s digital presence, including the FD website, program email, social media channels, Canvas site, and related communication tools to ensure students and partners have timely, accessible information.
- Support student recruitment and program infrastructure by maintaining accurate records of current and prospective FD students, attending regular team meetings, and helping integrate FD into ongoing Office of Rural Health Programs and OHCE initiatives.
Student and Stakeholder Management (25%)
- Serve as a friendly and responsive point of contact for FD inquiries, coordinating with UW faculty, staff, students, mentors, healthcare professionals, community partners, and external organizations to advance program goals.
- Plan, organize, and support engaging FD programming, including monthly student and mentor meetings, workshops, webinars, orientation activities, MCAT and admissions-related panels, and other student success events.
- Monitor and encourage student engagement by supporting Canvas learning activities, checking in with current FD students, connecting students with resources, and sharing progress updates with program leadership.
Program Reporting Assistance (10%)
- Assist with FD program reporting by gathering timely feedback from students, mentors, faculty, and community partners to support continuous improvement and grant or program requirements.
- Contribute to program evaluation by helping organize, analyze, and present program data, survey results, participation trends, and student engagement information.
- Recommend practical enhancements that strengthen student outcomes, improve program effectiveness, and support strategic planning for the continued growth of FD.

Minimum Qualifications
Bachelor’s degree and one year of administrative work experience OR equivalent education/experience.

Additional Qualifications
- Proficiency using Zoom, Microsoft Teams, Microsoft Office programs, Outlook or similar email/calendar systems, Excel, Qualtrics, Adobe, and cloud-based record storage tools.
- Familiarity with learning management platforms such as Canvas and communication or marketing platforms such as WordPress, MailChimp, Constant Contact, and Canva.
- Demonstrated ability to multitask, adapt to evolving priorities, and coordinate projects independently and collaboratively with cross-functional teams.
- Experience with event planning and program or student support activities.
- Ability to work a flexible schedule, including occasional evening work and minimal weekend work, and to travel regionally on a limited basis where FD partners are located.
Preferred Qualifications
- Two years of experience working with college students and/or supporting program development.
- Prior program management experience, including coordinating activities, timelines, stakeholders, data, and communications.
- Experience working with groups and teams with varied perspectives.
- Self-motivation, resourcefulness, strong organizational skills, and the ability to work with minimal supervision.
- Strong oral and written communication skills.
Working Conditions
- This role is expected to work a hybrid schedule, with daily work completed in alignment with program and department needs.
- The majority of the work will be remote, with some in-person meetings. Scheduled in-person meetings shall be posted about two weeks prior to the meeting.
- The position may intermittently require work beyond a normal work week, including occasional evening or weekend time to meet project deadlines, support program events, and attend meetings.
- Minimal regional travel may be required to support FD partners, students, and program activities.
