What you can expect
We are seeking an enthusiastic individual who will be a key part of our Institutional Client Group Business Development team. This is a full-time hybrid role based in our Amsterdam office. You will provide the team with a high-level of support across a broad range of crucial administrative functions including providing board secretarial support, travel coordination, diary management, and general office management. The candidate will ideally view the role as an opportunity for development and learning.
What you will do
You will have a meaningful impact on our Amsterdam office providing executive sales administrative support alongside assisting with Board secretarial, Office support and Risk & compliance requirements.
Provide core administrative and organisational support to the Netherlands based team, including meeting coordination, video‑conference setup, and preparation of materials.
Arrange international and local travel logistics, producing clear itineraries and coordinating with travel agents where required.
Support office operations by managing facilities queries, telecoms providers, supplies, catering, meeting rooms, and visitor registration.
Act as a key liaison for HR‑related matters such as Dutch pension and local benefits queries.
Process expenses, invoices, reconciliations, and support basic reporting requirements for regulatory obligations.
Provide day‑to‑day IT coordination, including troubleshooting through the IT team and ensuring devices and meeting setups are ready.
Deliver general administrative support such as document preparation (Word, PowerPoint, Excel), record‑keeping, and maintaining secure filing systems.
Support compliance activities through organised filing, document management, and coordination of due‑diligence materials and questionnaires.
Provide board support by maintaining meeting packs, organising documentation, and managing filings with the Dutch commercial register.
Partner with other Executive Assistants across Europe and offer backup coverage for travel bookings, expenses and event support
Act as a backup for Salesforce and client‑lifecycle administration, supporting data entry, record maintenance and client‑related tracking as expertise develops.
Additional tasks as required
What you will bring
Executive assistant, project management, sales support or other transferrable experience in a fast-paced and demanding environment.
Proficient in technology systems such as Salesforce, Seismic, Tableau, Microsoft Word, Power Point, Excel, Teams and able to work optimally with other teams across the organization.
High degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
Strong editing and proofreading skills and attention to detail.
Ability to think proactively and anticipate needs.
Ability to work independently with.

What we offer you

Annual Leave of 30 days, at full pay.
Retirement Savings Plan: Participation in the PGIM Pension Plan, a defined contribution scheme provided by Centraal Beheer PPI, with employee and employer contributions based on pensionable salary. Employees contribute 4% via salary sacrifice, with PGIM contributing monthly on an age‑banded scale, subject to statutory limits.
Life Assurance: Partner and dependent pensions are provided through the PGIM Pension Plan, with premiums paid by PGIM. Optional additional partner coverage is available at employee cost.
