
Receptionist
Job Description
POSITION SUMMARY:
The Receptionist is responsible for answering CCS’ multi-line telephone system and accurately taking/relaying messages. The successful candidate has the ability to learn and work on assigned data entry, mail processing, photocopying, filing, and other general office tasks, as assigned. They are also responsible for managing facility tickets, inventory, and projects.
ESSENTIAL FUNCTIONS:
- Answers incoming telephone lines and directs calls to appropriate departments and personnel,
- Takes timely and accurate messages, relaying information to appropriate personnel.
- Greets and screens all visitors, clients and vendors while adhering to CCS’ security policies and practices.
- Assigns temporary and visitor security badges.
- Manages facility needs, tickets, projects and vendor / client visits.
- Manages multiple priorities and tasks based on daily assigned work.
- Demonstrates respect and regard for all clients, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
- Promotes effective working relationships with the team and other departments to help achieve company goals and objectives.
- Maintains work area and equipment in condition as required by department standards.
- Operates assigned equipment and performs all activities in a safe manner.
- Maintains record of training room and conference room usage.
- Performs clerical receptionist duties such as filing, photocopying, transcribing and faxing.
- Maintains the DGA (Direccion General de Aduanas) inventory is up to date.
- Supports the import process of office goods.
- Performs additional tasks and responsibilities, as assigned.
- Ability to maintain consistent and regular attendance in accordance with an established schedule.
- Ability to work onsite/in-office in accordance with CCS and department policies and procedures.
QUALIFICATIONS:
- Minimum of 1-3 years of experience in a Reception, Front Desk or Administrative position preferred.
- Must be able to read, write and speak English fluently.
- Must have excellent verbal and written communications skills.
- Must have a strong attention to detail and are highly organized.
- Ability to multi-task while answering phone lines.
- Ability to read, write and comprehend written and verbal information for accurate message-taking.
- Must have a strict adherence to confidentiality and high ethical standards.
- Alpha & Numeric data entry (40 wpm typing with high level of accuracy).
- Experience working with Microsoft Office (Word, Excel, Outlook) is preferred.
EDUCATION REQUIREMENTS:
- High school diploma or equivalent required, some college preferred.
