Job Summary:
The Fleet Manager is responsible for the day-to-day oversight of all company vehicles and mobile equipment. This role ensures the fleet operates safely, efficiently, and cost-effectively by managing preventive maintenance, driver compliance, procurement, vendor relationships, and fleet data analytics.
The Fleet Manager partners cross-functionally with EHS, dispatch, field operations, and finance to align fleet utilization with operational priorities and drive total-cost-of-ownership improvements across the asset base.
Supervisory Responsibilities:
- Lead and develop a team of drivers and/or field technicians, including hiring, performance management, and training.
- Partner with dispatch and field operations leadership to align fleet utilization with operational priorities.
- Oversee third-party vendors and service providers supporting fleet maintenance and repair.
Duties/Responsibilities:
Fleet Maintenance & Scheduling
- Oversee preventive maintenance programs, coordinate repairs, and ensure all vehicles meet safety and regulatory standards.
- Manage shop schedules and parts availability with internal teams and external vendors to minimize out-of-service time.
Operations & Dispatch Coordination
- Optimize vehicle routing and utilization, coordinate with dispatch teams, and minimize downtime across the fleet.
- Right-size assignments by job, geography, and crew to match operational demand.
Compliance & Driver Safety
- Ensure DOT and OSHA compliance, manage driver qualification files, licenses, medical cards, and safety training programs.
- Maintain accurate records for audits, regulatory inspections, and client safety reviews.
Budget & Cost Management
- Manage the fleet operating budget, track fuel and total-cost-of-ownership (TCO) metrics, and negotiate vendor contracts.
- Identify and pursue cost-reduction opportunities across fuel, maintenance, telematics, and acquisition spend.
Fleet Data & Reporting
- Utilize telematics and fleet management software to monitor KPIs (utilization, idle time, fuel economy, maintenance cost per mile).
- Generate reports and present insights to executive leadership to inform fleet, capital, and operational decisions.
Vehicle Procurement & Disposal
- Manage the full vehicle lifecycle — spec, acquisition, upfitting, deployment, and disposal — in partnership with operations and finance.
- Develop replacement planning roadmaps that balance reliability, cost, and emerging technologies (EV, telematics, safety systems).
Additional responsibilities and tasks as required to support the organization's goals and adapt to evolving business needs.
Attributes/Abilities:
- Must have a satisfactory background/MVR check.
- Ability to pass pre-employment, post-accident, reasonable suspicion, and/or random drug testing.
- Strong analytical, organizational, and communication skills, with the ability to manage multiple priorities across vendors, drivers, and internal stakeholders.
- Hands-on mechanical knowledge with a data-driven mindset; comfortable interpreting telematics, KPIs, and lifecycle data to inform fleet decisions.
- Working knowledge of DOT regulations and vehicle compliance frameworks with a track record of maintaining accurate records and driver qualification files.
- Demonstrated experience managing preventive maintenance programs, vendor relationships, and unscheduled repair coordination across distributed locations.
- Skilled at building and developing driver and technician teams — hiring, performance management, training, and accountability.
- Budget-disciplined operator with experience tracking fuel and total-cost-of-ownership metrics and negotiating vendor contracts to reduce spend.
- Sound judgment in compliance, safety, and cost-management decisions, with the ability to weigh near-term operational pressure against long-term fleet health.
- Effective communicator able to present fleet performance, risks, and capital needs clearly to executive leadership.
- Proficient with fleet management software (Samsara, Verizon Connect, Fleetio, or similar) and Microsoft Office Suite.
Experience and Education:
- Bachelor’s degree in logistics, business, or related field, or equivalent professional experience.
- 3+ years of fleet management experience.
- Proficiency with fleet management software (e.g., Samsara, Verizon Connect, Fleetio).
- Knowledge of DOT regulations and vehicle compliance requirements.
- Certified Fleet Manager (CFM) or similar credential preferred.
- Experience managing mixed fleets (light-duty, heavy-duty, electric) preferred.
- Background in mechanical or automotive technology preferred.
- Experience with EV fleet transition and sustainability programs preferred.
- Experience managing a team of drivers or field technicians preferred.
Physical Requirements:
- Primarily office-based with regular visits to yards, shops, and project sites.
- Ability to walk, climb, and inspect vehicles and equipment during site visits.
- Occasional lifting up to 30 lbs.
- Travel as needed to support field operations and vendor visits.
- Must wear required PPE when in shop or field environments.
