The Wilma and Peter Veldman Family Psychology Clinic at the University of Notre Dame is seeking a Recruitment and Events Coordinator to join our dynamic and mission-driven team. This role plays a critical part in advancing the clinic’s research and community engagement efforts by supporting participant recruitment and coordinating events that connect our work to the broader community.

The Veldman Family Psychology Clinic is Notre Dame’s premier institute for clinical science, training, and community mental health. As part of the College of Arts & Letters, the clinic brings together faculty, staff, and students who are pioneering innovative research, delivering exceptional care, and preparing the next generation of mental health professionals. Our work is deeply grounded in the University’s mission to be a force for good—with a particular focus on expanding access to evidence-based, high-quality mental health services for underserved populations.

Position Overview

The Recruitment and Events Coordinator is a full-time, in-person position that supports the Veldman Family Psychology Clinic and affiliated research programs. The successful candidate will strengthen participant recruitment efforts, coordinate community-facing events, and help increase awareness of research opportunities and Clinic initiatives.

Working closely with faculty, researchers, staff, and students, this individual will develop and implement recruitment strategies, maintain recruitment systems and communications, and ensure the successful planning and execution of events. This role is central to the Clinic’s research mission, helping connect individuals and families with meaningful research opportunities while fostering strong community engagement.

Key Responsibilities

Participant Recruitment

  • Collaborate with faculty and research teams to develop and implement effective recruitment strategies tailored to specific participant populations.
  • Review and provide feedback on recruitment materials, including flyers, advertisements, and digital content, to improve clarity, accessibility, and impact.
  • Identify, coordinate, and participate in recruitment events and community outreach opportunities.
  • Maintain recruitment materials and equipment, ensuring they are organized, current, and readily available.
  • Support the management of participant recruitment databases and tracking systems.
  • Assist with maintaining and updating recruitment-related website content.
  • Train staff and students on recruitment best practices and effective engagement strategies to help achieve study enrollment goals.

Communications and Outreach

  • Prepare and distribute monthly recruitment communications, including targeted outreach to child and adult participant populations.
  • Monitor recruitment-related communications and ensure timely dissemination of information.
  • Support internal communication and coordination related to recruitment activities and events.
  • Prepare and deliver brief presentations highlighting research conducted through the Veldman Family Psychology Clinic and affiliated programs.

Event Planning and Coordination

  • Plan and coordinate events for the Clinic and affiliated units, including research events, community outreach initiatives, informational sessions, workshops, and trainings.
  • Reserve and coordinate event spaces within the Clinic, the University, and community venues.
  • Arrange catering, materials, technology, and other logistical requirements.
  • Develop event communications and promotional materials, including invitations, flyers, and announcements.
  • Coordinate event setup, décor, and on-site logistics to create a welcoming, professional, and engaging experience for participants and guests.

Team Collaboration

  • Actively participate in staff meetings, trainings, and collaborative initiatives.
  • Contribute to a positive, mission-focused team culture.
  • Assist with additional duties as needed to support the smooth and effective operation of the Clinic.

They are comfortable balancing strategic thinking with hands-on execution, enjoy building partnerships within the community, and bring creativity and resourcefulness to recruitment, outreach, and event planning efforts.

Required:

  • Bachelor’s degree in psychology, social work, marketing, communications, public health, education, or a related field.
  • At least one year of professional experience in community engagement, outreach, recruitment, event coordination, or a related area.
  • Strong interpersonal and communication skills, with the ability to build relationships and engage effectively with diverse populations, including youth, families, schools, and community organizations.
  • Demonstrated ability to work independently while collaborating effectively within a multidisciplinary team.
  • Excellent organizational and project management skills, with the ability to manage multiple priorities, timelines, and stakeholders simultaneously.
  • Strong attention to detail and ability to coordinate complex logistics.
  • Proficiency in developing clear, engaging communications and outreach materials for varied audiences.

Hiring Pay Range: Up to $24/hour | Commensurate with experience
