About the Role:
As aTalent Acquisition Administrator you will report to the Senior Talent Acquisition Business Partner and you will provide administrative and operational support to the recruitment function, ensuring an efficient, professional, and compliant recruitment process. As part of this role you will coordinate recruitment activities, schedule interviews, support hiring managers and recruiters, and help deliver a positive candidate experience throughout the recruitment lifecycle.
Key Responsibilities:
- Manage interview logistics, including meeting invitations, virtual meeting links, and candidate communications.
- Support recruiters with job postings across internal and external recruitment platforms.
- Monitor applications and respond to candidate enquiries in a timely and professional manner.
- Assist with candidate sourcing activities and talent pipeline management as required.
- Be the point of contact for People Leaders creating positions and job requisitions, resolve queries, and contribute ideas to enhance processes and candidate experience
- Ensure all recruitment documentation is complete, organized, and compliant with company policies and applicable regulations.
- Assist in recruitment reports and continuous improvement initiatives for the recruitment function
- Support onboarding administration by coordinating pre-employment documentation and new hire paperwork post offer stage
- Maintain recruitment records in accordance with legislation, privacy requirements, and company policies.
- Support audit activities by ensuring recruitment documentation is complete and readily accessible.
- Promote fair, consistent, and inclusive recruitment practices
- Support recruitment campaigns, career fairs, and employer branding initiatives.
- Provide general administrative support to the Talent Acquisition team.
What We’re Looking For:
- Diploma, bachelor's degree, or equivalent qualification in Human Resources, Business Administration, or a related field.
- Previous experience in recruitment administration, HR administration, talent acquisition coordination, or a similar role.
- Experience using Applicant Tracking Systems (ATS) and HR systems preferred.
- Experience working in a fast-paced, customer-focused environment.
- Excellent communication and a customer-focused mindset
- Good command (written and oral) in English language using relevant professional terminology.
- Computer literacy with Microsoft products including excel, word and power point.
- Strong customer service and stakeholder management skills, with the ability to handle confidential information with discretion
- Ability to effectively manage multiple priorities and meet deadlines with attention to detail and accuracy
- Team spirit, particularly in a multicultural environment and ability to work both independently and as part of a team with colleagues in person and around the world.
- Initiative and proactiveness with flexibility to adjust your approach when necessary.
