Department: Support Services

Employment Type: Contract

Location: Clifty Creek

Compensation: $19.66 - $24.59 / hour

Description

Responsible for performing administrative support duties within the assigned area.  Responsibilities are specific to the job location (i.e. plant, department, etc.).

Expected to align personal goals with the Mission, Vision, and Values of OVEC/IKEC.

Employees are expected to actively support the OVEC-IKEC Strategic Plan.

Key Responsibilities

Perform routine and confidential administrative work in the office of the Staff Member to whom assigned; handle general office work, special assignments and confidential business; handle matters of a confidential nature involving administrative policies and practices of the Company and maintain related records; take and transcribe machine dictation and compose and prepare confidential correspondence, reports and other complex documents. 

Assist Staff Member with as many duties as possible, some of which may be of a confidential nature; prepare special reports for use by management, collect and summarize information pertinent to such reports; screen incoming calls and respond independently with ability to provide information, answers questions and direct individuals to appropriate party as necessary; analyze, classify and distribute incoming mail; refer mail requiring personal attention and compose and type replies to routine correspondence; arrange complex and detailed travel plans and itineraries.

Manage Staff Member’s calendar and schedule appointments; maintain attendance calendar for key management personnel; organize events, meetings and conferences by arranging facilities and caterers; prepare agendas, notices, minutes and resolutions for corporate meetings, review various Maximo reports and ensure corrections are made as needed .

Perform duties in accordance with the Company’s procedures, practices, and safety rules; report irregularities and abnormal conditions; direct the work of employees assigned to assist; assist in the training of other employees; assist employees of equal or higher classification; perform similar or less skilled work.

Prioritize work to meet the goals and objectives of the Company; adheres to the highest level of professionalism by demonstrating honesty, integrity and maturity; conducts oneself in a businesslike and professional manner; takes extra effort to improve knowledge and skills to be the best in the profession; assumes a natural leadership role for all employees in the Administrative Associate classifications; communicates clearly and effectively with others.

Perform duties in accordance with all applicable federal and state safety laws and regulations, and all applicable company safety rules and operating procedures; when supervising others, assure that safe work practices are followed and conduct safety meetings; make suggestions for the improvement of the safety program and encourage others to do so.

Skills, Knowledge & Expertise

  • Must possess a working knowledge of software used by the Company; possess the ability to organize data and processes and communicate effectively, both orally and in writing. 
  • Through a combination of education and/or experience, must have sufficient knowledge and skills to perform the duties and/or responsibilities listed above as well as the ability to acquire the necessary knowledge and skills to perform the duties and/or responsibilities of a higher classification in the line of promotion.
  • High School Diploma or GED required.
  • Computer skills and clerical experience preferred.
