Job Overview

Under the general direction of the CEO, the Supervisor, Executive Assistants provides advanced, diversified, and confidential administrative support to the CEO requiring comprehensive knowledge of organizational policies, practices, and executive-level priorities.

This role exercises considerable initiative, independent judgment, and discretion while coordinating high level administrative operations. In addition to performing complex administrative duties for the CEO, the position provides guidance, oversight, and leadership to other Executive Assistants who support the C-Suite ensuring consistency, accuracy, and high-quality service delivery.

The Supervisor, Executive Assistants represents the CEO office with professionalism and serves as a key liaison to internal and external business partners, senior leaders, community stakeholders, and government or industry organizations.

What you will be doing:

Executive Support

  • Manages complex calendars; schedules, coordinates, and confirms CEO and other executive level meetings, conferences, and events.

  • Screens and prioritizes phone calls, visitors, and correspondence; exercises mature judgment in responding or redirecting as needed.

  • Composes, reviews, and edits routine and non-routine correspondence and reports, often involving confidential or sensitive information.

  • Prepares presentations, briefings, and supporting documents using Microsoft Office tools and other enterprise systems.

  • Coordinates CEO travel, itineraries, logistics, and expense reports.

  • Conducts research and compiles data for reports, decision briefs, and strategic initiatives.

Supervisory Responsibilities

  • Provides daily guidance, direction, and quality oversight to the broader Executive Assistant team.

  • Trains, mentors, and supports the executive administrative team to ensure consistent service levels and adherence to standards.

  • May assign and monitor workloads, to include absence coverage, and make recommendations for process improvements.

Operational & Project Coordination

  • Coordinates administrative activities, ensuring communication flow amongst the broader executive team.

  • Oversee project timelines, follow up actions, and deliverable tracking on behalf of the CEO.

  • Supports the development and refinement of executive processes, office standards, and administrative protocols.

Stakeholder & Relationship Management

  • Serves as a primary point of contact for internal and external stakeholders interacting with CEO.

  • Builds strong working relationships with internal and external stakeholders to include; Board members, executive team, senior staff, community leaders, and business partners.

  • Represents the CEO with a high degree of professionalism, confidentiality, and customer service.

What you need:

  • Bachelor’s degree.

  • Seven (7) or more years of executive level administrative experience.

  • Any equivalent combination of education and/or experience may be substituted for the above.

Required knowledge, skills, and abilities:

  • A proven track record of overseeing the work of others.

  • Advanced proficiency with Microsoft Office Suite, enterprise systems, and collaboration tools.

  • Ability to handle confidential information with the utmost discretion.

  • Strong judgment, analytical thinking, decision making, and communication skills.

  • Exceptional organizational ability with demonstrated experience managing multiple priorities.

Special Requirements:

  • Must obtain a Security Identification Display Area (SIDA) Airport Identification/Access Badge (badge) in accordance with Department of Homeland Security Transportation Security Administration (TSA) requirements in Chapter 49 of the Code of Federal Regulations Part 1500 et al., and DFW Airport’s Airport Security Program within thirty (30) days from date of employment and maintain qualification for a SIDA badge upon each badge renewal.

  • Uses computers, other technology to communicate.

  • Communicates by telephone, computer, in writing and in person.

  • Uses near-visual acuity in reading written documents.

  • Possible travel (Up to 10% of time).
